Job Title: Scientific Literature Database Management

Location(s): Richmond, VA

Article Acquisition and Uploading Based on the results of searches that have been executed for various topic areas results, Contractor will order and obtain copyright compliant, electronic scientific articles through designated resources (e.g., Client resources). As the number of articles may be large and article fulfillment may be staggered over time, Contractor is accountable for tracking the status of articles obtained for a given search results set. Upon receipt of individual articles, Contractor will load electronic copies of each article into the Client Literature Management Platform. In doing so, Contractor will also add required meta-data for each article to include bibliographic and other information. Generally, required meta-data will be governed by templates in the Client Literature Management Platform. For articles that are not available in electronic format due to copyright or other constraints, Contractor shall notify Client and add relevant meta-data regarding the article status to the Client Literature Management Platform for that article. Contractor shall provide periodic updates on status of article ordering and acquisition. Contractor will be responsible for assuring the quality of meta-data it adds into the Client Literature Management Platform for each article. The platform is designed to enable Contractor QC activities to be performed in the platform.

Report of Information into Literature Management Platform Contractor will generate reports of articles and related article meta-data from the Literature Management Platform. This may include reports intended for internal Client personnel or reports needed to facilitate additional review of articles. Contractor will work with Client personnel to ensure that the content and format of reports conforms with style or other requirements. When needed, Client personnel will work with Contractor to generate complex reports that might require engagement of other Client personnel or adaptations to the Client Literature Management Platform. Contractor will be responsible for assuring the quality of any reports generated.

Manage Bibliographies and Citations for Articles Contractor will use articles and/or article meta-data in the Client Literature Management Platform to prepare a Word-based bibliography of articles within a designated topic area. The format of such bibliography, and the schedule for delivery, will be discussed and agreed upon with Client. Contractor will export bibliographic information from the Client Literature Management Platform into a centralized citation management database (e.g., EndNote). Contractor will work with Client personnel to ensure that the content and format of the bibliographic information exported into the citation management database conforms with style or other requirements. Contractor will also assist with the management and QC of information in the Client citation management database. This may include creating custom groups of citations within the database or exporting citations from the database for Client.

Other Support as needed from Client Contractor will provide other literature-related support for regulatory submissions. This may include assembling and preparing collections of electronic article copies for provision to external entities. Contractor may need to verify that the designated article copies are permissibly provided (e.g., through verifying copyright clearance status or obtaining an additional such copy). This may also include preparing zip or other compressed files of articles. Contractor will participate in teleconferences or other meetings with Client personnel to discuss the planning for or status of Contractor services and deliverables.

Requirements:


  • A bachelor's degree is required. Familiarity with published scientific literature preferable.
  • Significant knowledge and work experience in relational databases or other managed document review platforms. Note: this is NOT an IT role.
  • Significant knowledge and work experience with citation management software such as EndNote.
  • Significant knowledge and work experience in MS Office skills including Outlook, PowerPoint, and Excel.
  • Outstanding interpersonal and communication skills, both oral and written. Strong demonstrated attention to detail. Ability to (project) manage multiple and changing timelines.
