Job Summary

The Real Estate Administrative Manager will join a team of Real Estate professionals who are focused on the development and management of assets, such as billboards, digital displays, and signage, within the New Jersey market. You will play a crucial role in assisting with various development and management activities, including lease preparation, audits, and monthly reporting. Additionally, you'll be tasked with administrative duties that align with leadership initiatives, in addition to overseeing the team's administrative staff. This role reports to the Senior Director of Real Estate for the New Jersey market.

Your Role

  • Support the team with administrative duties as needed.
  • Manage and maintain department lease files, documents, and reports, while also updating and maintaining various team databases.
  • Assist with the preparation of leases, payment of invoices, daily correspondence with lessors, and auditing lease renewals for accuracy.
  • Process and maintain vegetation and pest control records, property tax records; annualbusiness license and permit fee records and percentage lease records.
  • Assist with background and revenue analysis for new lease development and lease renewal negotiations, while servicing each lease through its duration by communicating directly with each landowner as needed.
  • Assist in the analysis for securing and renewing permits for locations with all applicable jurisdictions, including NJ DOT annual permit renewal.
  • Supervise the department administrative staff ensuring the quality and timeliness of their work.
  • Ensure the accuracy of the department's administrative staff's daily timesheets and time off requests.
  • Conduct bi-annual performance reviews of the departments administrative staff.
  • Liaise with other internal teams as needed.

Your Qualifications

  • Proficiency in Microsoft Excel.
  • Relevant prior administrative work experience.
  • A self-starter who can efficiently multi-task, manage projects, and work with multiple team members to achieve shared objectives.
  • Comfort in navigating dynamic environments, showcasing the ability to perform effectively amidst changing circumstances.
  • Outstanding written and oral communication skills, coupled with expert proficiency in facilitating meetings, ensuring clear and comprehensive communication.
