The Department of Ophthalmology at West Virginia University is currently accepting applications for a (Hybrid) Program Coordinator. About the Opportunity The program coordinator with assist the vision teachers and program director assists with day-to-day tasks associated. What You'll Do
- Assists in managing daily operations of the projects, programs, or office to which assigned.
- Travel to and from clinics around the state may be required.
- Establishes and/or maintains a recordkeeping system for programs, projects, or office to which assigned and enters data into records or into system databases as appropriate and as needed.
- Plans and develops methods and procedures for implementing projects.
- Establishes and maintains productive relationships with state, federal, and private agencies as appropriate and as directed.
- Coordinate events or conferences, from planning and advertising, to contracting for services from vendors to registration and event completion. Initiates contractual agreements between West Virginia University and outside agents for supervisor's review and signature. Arranges meeting facilities, setup requirements, and billing of revenue lines.
- Coordinates with faculty any support services that will be provided by the program(s) as needed for assigned events or activities.
- Answer phones and greets visitors to office or location.
- Produce and prepare advertising promotional materials such as letters, flyers, schedules, brochure
- Assist in developing and monitoring annual project or program budget with supervisor.
- Maintains records regarding accounts receivable and submit reports as required. Ensures accounting procedures are followed and deposits are accurately processed.
- Deals with administrative problems and inquiries, coordinating communications and activities within the office.
- Creates reports to retrieve program/project information from system; may perform initial analysis on reported information and make recommendations to supervisor based on this data.
- Assist in preparation for various financial reports and cost studies as directed for analysis.
- Audits accounts for compliance. Meets with supervisor to resolve issues and concerns. May have budget authority to change, modify and transfer funds. Monitors revenues and expenses.
- Will attend on- and off-campus meetings/clinics as requested and report back on issues of importance
- Will assist in the maintenance of web pages relating to department.
- Has purchasing authority utilizing Procurement Card and Oracle to obtain office supplies, catering services, office equipment, etc. Evaluates and recommends purchases as appropriate.
- Performs related duties as assigned or as directed.
Pay Grade: 15
Qualifications
- Bachelor's degree in a related field
- A minimum of two (2) years of experience involving:
- Increasingly responsible experience working in an administrative capacity
- Any equivalent combination of related education and/or experience will be considered
- All qualifications must be met by the time of employment.
Knowledge, Skills and Abilities
- Thorough knowledge of office methods, procedures and protocol, along with thorough knowledge of correct English, grammar, spelling, punctuation, and sentence structure.
- Good knowledge of, or the ability to rapidly learn, the policies, procedures and regulations governing budget issues, with the ability to interpret and apply these policies to unique situations.
- Knowledge of principles and practices of fiscal record keeping.
- Strong interpersonal skills with the ability to maintain a professional demeanor while interacting with customers either in person or over the telephone.
- Demonstrated ability to establish and maintain cooperative working relationships among all levels of employees within the organization
- Demonstrated ability to apply solid judgment, discretion and initiative in performing a variety of complex administrative tasks.
- Demonstrated ability to coordinate and prioritize many different administrative tasks, determine relative importance of each, set deadlines, and complete projects in a timely manner.
- Proven ability to type with speed and accuracy.
- Solid familiarity with a demonstrated competency in using a personal computer and related software packages, including word processing, database management and web design.
- Demonstrated ability to independently determine proper location and cross reference of files in alphabetical, numerical, chronological, and/or subject matter order.
- Ability to reason logically and analyze and solve problems.
- Ability to rapidly learn the operations of the University and work environment.
- Ability to maintain confidentiality of sensitive information.
- Requires the ability to work independently.
