Job Summary: Responsible for providing administrative support to the Office of Human Resources (OHR). This position reports to the Vice President of human resources and organizational development.

Minimum Qualifications:

Associate's Degree and 3 years experience*
*or an equivalent combination of education and experience.

Hiring Range: $48,182.00- $60,227.00

Job Specific Task List:



  • Coordinates administrative support to the Vice President. Maintains administrative workflow by providing complex, specialized administrative support, researching, implementing cost reductions; developing reporting procedures; manages the executive's schedule; schedules meetings and makes necessary arrangements; oversees the VP's arrangements and expenses; disseminates communications on behalf of the VP; travels to different HACC locations, as needed. Essential
  • Manages office, clerical, reception operations; handles customer inquiries; processes address changes and maintenance for employees and student workers; serves as contact for employment verifications; maintains employee bulletin boards throughout the college, including retention schedule; maintains the "Ask HR" resource account, ensuring timely response within two business days; maintains emeriti email accounts prepares notices of emeriti status per approval by the Board of Trustees.   • Assist Vice Presidents, HR leaders and departments, including Employee relations, Organizational Development, Talent Acquisition, Benefits, HRIS and general human resources by cross-training and performing assigned tasks in each department; research, analyze and recommend solutions; provide administrative support; lead and assist in special projects.   • Facilitates interdepartmental communications between internal and external parties; maintains a thorough understanding of departmental goals, assist VP in monitoring strategic plan, processes, procedures and policies; assists with the development, writing and updating of policies, procedures, methods, and guidelines; assists with coordinating department activities, relaying communications and providing related support.   • Prepares and processes confidential documents, oversees records and confidential files and documentation related, finance, accounting, payroll or personnel issues and tracking confidential employee documentation; develops and prepares appropriate documents and forms to assist with maintenance and purchase requests. maintains records.   • Attends and records minutes at meetings of the Board of Trustees Human Resources Committee, College Compensation Advisory Committee (CCAC), and other committees and task forces as assigned. Essential
  • Performs budget preparation, including reviewing previous years' expenditures and estimating financial needs, and new or updated OHROD programs; monitors spending, reallocates funds; monitors budgets with the directors. Coordinates purchases, pays invoices; maintains accurate records; assists in preparations of capital and operating budget. Essential
  • Coordinates development and completion of the surveys, data collection, special projects, and serves to preserve records and manage digital content. Essential
  • Responsible for coordinating student employment in collaboration with student affairs and payroll. Recruits, develops and manages student employees in the division. Essential
  • Assists all OHROD departments, as needed, including performing benefits reconciliation work, auditing data within Banner, Cornerstone, Streamlink/bswift, and healthcare insurance records; assists with onboarding new OHR employees by ordering business cards and name tags; processes electronic personnel action forms (EPAFs) for student workers.
