Business Operations Specialist

Main purpose of Job:

Under the direction of the Vice President, the Operations Specialist is responsible for day-to-day operations for MSH's Strategy, Business Development & Partnerships unit. They support work plan and budget management, facilitate data-driven decision making, and ensure communication and coordination across work streams and between SBDP and relevant departments. They ensure compliance with MSH policies and processes, particularly those associated with procurement of goods and services. This position serves as a member of the senior management team.

Specific Responsibilities Include:

Operations Management (30%)

  • Provides technical and operational support for unit meetings, annual retreats and team-building activities, SBDP-led corporate-wide training events, after-action reviews, and other events. Administers team pulse survey twice a year and supports management with analysis and follow up. Coordinates follow up of employee engagement management actions.
  • Works closely with the Vice President and SBDP people managers to coordinate new hire orientations and training plans. Supports DEI related initiatives.
  • Serves as liaison to MSH's operations units.
  • Participates in Quarterly Security Brief, Monthly CFO Financial Performance Calls. Contributes to effective cross-departmental communication and collaboration.
  • Manages a roster of consultant proposal writers, proposal managers, reviewers, technical writers, and technical experts.

Planning, Financial Management, Reporting, Data Analysis & Use (30%)

  • Maintains the organizational business planning calendar for SBDP.
  • Responsible for the developing and monitoring annual work plans and corporate budgets, annual revenue forecasts and targets, and progress towards strategic priorities.
  • Develops quarterly reports to the MSH Board of Directors and committees, and other scorecard reports, as required.
  • Supports preparations for LT operations committee meetings, quarterly MSH Leadership Team retreats and QMS meetings.
  • Maintains business systems and dashboards within the SBDP unit (i.e.SharePoint, MSH Connect internal SharePoint site, Costpoint, Groove)
  • Supports implementation of MSH's Technology Roadmap within SBDP. Participates in cross departmental governance committee.
  • Has primary responsibility for document management.
  • Conducts analyses to maximize the SBDP's effectiveness, like the annual investment review and the multi-year performance review. Develops presentations to the SBDP senior management team and staff, and MSH Leadership.
  • As needed, assist with other data analyses within the SBDP unit (i.e. data analysis and creation of partnership/diverse donor specific graphics)

Business Processes and Standards (20%)

  • Works with business process owners to document and maintain business development processes, guidelines, and tools, and to develop and implement quality control measures.
  • Recommends new practices and procedures to increase efficiency.
  • Maintains resources on MSH's internal SharePoint site. Works with the SBDP senior management team to document and share 'lessons learned' and 'best practices,' and drive a culture of continuous process improvement.

Pipeline and Proposal Management (5%)

  • Contributes to the improved cost efficiency of positioning, project design, and proposal development through analytics (includes annual return on investment reviews and investment reviews at the proposal AAR stage)
  • Attends weekly pipeline management meetings to stay informed about what is going on in the pipeline; prepare and present updates on SBDP consultants at these meetings
  • Coordinates proposal code and other requests with MSH's finance team.
  • Contribute to SBDP competitor tracking

Business Strategy (15%)

  • Supports the VP and Office of the Chief Executive with developing mid-year and annual progress reports for MSH's strategic plan.
  • Contribute to the semi-annual collection and reporting of data on the 2023-2030 strategic plan indicators, ensuring accuracy, integrity, and consistency of data
  • Contributes to management of strategic risk register
  • Represents SBDP at external events, as needed
  • Other duties as assigned.

QUALIFICATIONS

Education and Experience:

  • Bachelor's Degree and 3-5 years experience or Master's Degree and 0-2 years experience.

Knowledge and Skills:

  • Proven organizational skills, including time management
  • Strong analytical and problem-solving skills, including data analysis and data visualization
  • Attention to detail
  • Strong knowledge of Microsoft Office 365 including Excel, PowerPoint, and SharePoint required. Exposure to/ experience with PowerBI and Microsoft Copilot, a plus.
  • Demonstrated verbal and written communications skills in English is required. French, Spanish, or Portuguese language skills preferred.
  • Ability to maintain confidentiality about sensitive personnel matters, including salary, is required

  • Team player who is also able to work under normal supervision and handle competing priorities while maintaining consistent, quality performance standards.
  • Experience transforming data sets, quantitative and qualitative analyses into compelling visuals
The expected salary range for this position is: $58,000.00 - $70,000.00 annually (U.S. locations only).
