Health Information Technician I is responsible for document preparation and processing paper and electronic documents to accurately file in the electronic health record to be readily available to support patient care. The Health Information Technician I resolves problems with documents such as missing Medical Record Numbers, image uploads, missing pages, and fixes document pages as needed. Technician I will also process communication to providers, patients/families.

Essential Functions

Employees must abide by all Joint Commission Requirements including but not limited to sensitivity to cultural diversity, patient care, patient rights and ethical treatment, safety and security of physical environments, emergency management, teamwork, respect for others, participation in ongoing education and training, communication and adherence to safety and quality programs, sustaining compliance with National Patient Safety Goals, and licensure and health screenings.

Must perform all duties and responsibilities in accordance with the hospital's policies and procedures, including its Service Standards and its Code of Conduct.

  • Performs documentation preparation (repairing tears, removing staples, ensuring/printing patient identification on every page), scanning the paper record, and indexing the scanned image with the medical record number, account number, and document type.

  • Assists in researching and locating missing documentation or incomplete scans.

  • Reviews death certificate log to inform inquirers of certificate process.

  • Performs scan document corrections through the media manager and sends documents to work queue.

  • Perform corrections for dictations that require more detail for Epic.

  • Process letters to be mailed to providers and patients/families.

  • Tracks and process returned letters and update addresses as needed in the system.

  • Process RightFax errors that were faxed to an incorrect number or recipient.

  • Identifies and escalates non-approved forms to management immediately.

  • Maintains the scanning equipment.

  • Performs emergency Release of Information functions when needed.

  • Prepares and boxes completed documents for warehousing.

  • Trouble shoots and corrects issues relating to misfiled scans, incomplete documentation, image quality, etc.

Minimum Qualifications

Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying.

Education: High School diploma or GED equivalent

Experience: None.

Licensure/Certification: None required.

Knowledge, Skills, & Abilities

  • Ability to apply judgement and make informed decisions

  • Ability to communicate complex concepts in simple form to cross-functional departments or teams

  • Ability to conduct analysis and formulate conclusions

  • Ability to foster effective working relationships and build consensus

  • Ability to plan, organize, prioritize, work independently and meet deadlines

  • Knowledge of computer systems and software used in functional areas

  • Knowledge of medical terminology and transcription process

  • Knowledge of new technology and maintain equipment

  • Knowledge of electronic medical record system(s). This includes Epic, OnBase, eScription One, Cerner.

  • Knowledge of regulations for HIPAA as well as organizational, local, state, and federal laws and regulations governing release of information and remains.

  • Ability to use and operate the mail meter

  • Ability to open and sort mail

  • Knowledge of the following functions in Epic: Fetal Monitor Processing, Marking Patients for Merge, Care Everywhere Status, MyChart Status.

  • Knowledge of Microsoft Office (Outlook, Word, Excel)

  • Ability to use Zoom for virtual meetings

Pay Range

Compensation is based on the level and requirements of the role.

Salary within our ranges may also be determined by your education, experience, knowledge, skills, location, and abilities, as required by the role, as well as internal equity and alignment with market data.

Typically, new team members join at the minimum to mid salary range.

Minimum to Midpoint Range (1.0 FTE): $67,496.00 to $76,554.40
