Womble Bond Dickinson (US) LLP is seeking a Legal Practice Assistant to join our Trust & Estates team in Phoenix, Arizona. This position requires the ability to work independently, maintain confidentiality, demonstrate professionalism, and work for multiple timekeepers daily. The successful candidate will deliver excellent work and superior service to the firm and the firm's clients. In addition, the candidate should also be a team player and able to accept constructive feedback and work in a very fast-paced environment.
RESPONSIBILITIES:
  • Providing administrative support to the co-chairs of the firm's Trusts and Estates practice and, as necessary, other attorneys in the firm's transactional practice;
  • Drafting and proofreading correspondence and legal documents (MS Word);
  • Communicating with firm clients and their advisors (e.g., financial advisors, accountants, etc.) and attending client meetings to witness / notarize legal documents;
  • Maintaining and tracking schedules and calendars for attorneys;
  • Managing client billing by preparing, revising, finalizing, and sending invoices;
  • Preparing and submitting expense reports (Chrome River);
  • Reviewing conflict checks and preparing new client / new matter forms;
  • Arranging logistics for travel, meetings, events, and conference calls;
  • Scheduling and organizing events (e.g., meetings, business luncheons, and client dinners);
  • Managing, organizing, and maintaining documents in paper and electronic filing systems;
  • Preparing closing and estate planning notebooks and sending the same to clients and their advisors (e.g., financial advisors, accounts, etc.); and
  • Maintaining strict confidentiality of client matters through demonstrated diplomacy and discretion.


REQUIREMENTS:
  • Above-average typing speed with a strong emphasis on accuracy;
  • Associate's degree (equivalent related experience will be considered);
  • Ability to draft formal correspondence and provide miscellaneous document support with intermediate or higher MS Word expertise;
  • Ability to edit and organize documents in .pdf format (advanced proficiency using Adobe Acrobat Pro preferred);
  • Experience with electronic and paper file maintenance and organization (experience using iManage preferred but not required);
  • Willingness to take direction from others, and ability to work independently on assignments with demonstrated judgment in when to seek assistance;
  • Ability to effectively present information and respond to questions from individuals or groups of managers, clients, and timekeepers in a professional and timely manner;
  • Able to work assigned schedule with flexibility for overtime as required to meet business needs;
  • Solid time management skills;
  • Strong organizational skills, including the ability to work with large data sets and reports;
  • Demonstrated ability to comprehend details and work at a fast pace with a high degree of accuracy;
  • Diplomacy and calmness under pressure or changing priorities; and
  • Professional demeanor and experience communicating through different channels and with different personalities/audiences.
