Position Purpose:

The Scheduler is responsible for coordinating, generating, maintaining and disseminating training schedules for site personnel, training devices, classrooms, students, and equipment, performing administrative related duties of a wide variety and complex nature.

Essential Functions and Responsibilities:
  • Coordinate, generate, maintain, and disseminate quarterly and monthly training schedules for site personnel, training devices, classrooms, students, and equipment. Utilize approved scheduling program.
  • Prepare and disseminate daily training schedules by coordinating with squadron pilot and boom schedulers, resolving problems due to illness, device failure, temporary assignments, etc.
  • Compile student completion paperwork and generate graduation certificates.
  • Coordinate and schedule Navy Device time and internal device use.
  • Coordinate changes to scheduled Training throughput with the Navy.
  • Prepare and disseminate records and monthly reports of Aircrew Training System (ATS) training and device usage.
  • Act as administrative assistant to the Program Manager.
  • Greet and assist visitors and customers of the TH-57 site.
  • Prepare base access letters and coordinate visitor passes through the Base Visitor Center and Pass and ID. Prepare applications for Department of Defense Common Access Card (CAC) for site employees.
  • Prepare application for Security Clearances for submission to the Government.
  • Prepare correspondence, reports, and documents as required, by Corporate office or Government.
  • Handle incoming phone calls and direct them to all employees at TH-57 site. Screen Program Manager's calls, as directed.
  • Assist Program Manager and employees in managing vacation, sick leave, and personal time off hours.
  • Assist site employees with Teammate Resource issues.
  • In-process new employees and out-process resignation/termination paperwork.
  • Inventory, order, and stock office supplies to ensure the site is supplied with required items and maintain control log of expenditures for supplies.
  • Pick up mail at U.S. post office and Base Information Office. Distribute at the TH-57 site. Receive out-going mail and determine how it will be sent, based on time restraints and costs. Track postage meter expenditures and ensure site mail goes out in the most cost effective and timely manner.
  • Maintain maintenance and copy-count report, perform general maintenance on copy machine, and replenish copy room supplies to ensure site copying capability.
Other Duties and Responsibilities:
  • Maintain accurate inventory of courseware and process revised printed courseware.
  • Post information on scheduling boards.
  • Provide publication support.
  • Answer telephones.
  • Travels as required.
  • Perform other duties as assigned.
  • Teammates are held accountable for all duties of this job.

  • Fluently read, write, speak, and understand English.
  • Display excellent written and verbal communication skills.
  • Demonstrate the ability to operate common office equipment, such as fax machine, copier, and typewriter.
