The Gaming Digital Sales Team, within the Consumer Sales Organization is seeking an Executive Business Administrator to provide exceptional administrative support to the Corporate Vice President of Gaming Digital Sales. To be successful in this role you'll need to navigate a fast-paced environment and be able to build a close-knit partnership between the Corporate Vice President (CVP) and the organization's Chief of Staff. This collaborative partnership is essential to contributing to the impact to the broad organization and the CVP being supported. Additionally, the successful candidate must be able to multi-task, have proven interpersonal skills, take initiative, demonstrate good judgment, and maintain a high level of confidentiality. They must be highly competent at setting priorities while executing multiple tasks simultaneously. ResponsibilitiesCalendar Management and Meeting Logistics: Provides strategic calendar management and time planning support for Corporate Vice President, Consumer Sales Organization (CSO) Gaming Digital Sales. Owns calendar, meeting preparation, and delegate coordination based on knowledge of manager and business needs. Executes decisions around prioritization based on business knowledge context and communication with CVP. Exercise a sense of priority and awareness for high impact meetings, and urgent business needs, ensuring timely follow-up. Proactively engages with leader and key stakeholders to make decisions and cascade information as needed. Calmly manages ambiguity.Travel Management for CVP: Works with Executive Travel to coordinate travel arrangements (e.g., accommodations, transportation) for manager. Creates detailed itineraries/agendas for daily activities by setting and managing travel expectations to maximize trip productivity. Drives proactive communication across stakeholders ahead of travel and may communicate with domestic and international stakeholders to ensure the supported leader maximizes business trip outcomes. Ensure required documents (e.g., visas, passports) are obtained for international travel. Manages and ensures compliance with US Travel Tax Tool.Team Support: Provide team support for about 85 Full time employees (FTE), including headcount management, budget, morale events, distribution group management, onboarding/offboarding and other tasks/projects.New Hire: New employee set up, and procurement of goods and services including computer equipment, office supplies, reference materials and facility requests. Works with stakeholders to create new requisition in ICIMS. Rhythm of Business: Works closely with the Chief of Staff to plan out the calendar for the year. Setting up recurring meetings such as All-Hands, MBRs, Engage and Enlightenment Forums. Maintain ROB Calendar. Maintain updated Organization Charts and position number (PCN) management.Purchase Order (PO) Management: Open all POs for the team, this includes Marketing and Vendor Resources on Outsource IDs. Vendor Management: Works with Business owners and managers to keep Employee Central up to date with their start and end dates. Update reports to as asked.Expense Report: Acting liaison for interim approver on all MS FTE expense reports. Scrub details for correct coding and all required receipts are attached to the report. Morale and Volunteer Events: Plan all moral and volunteers' events coordination, including location, catering and activities. Communication:Build and support good business relationships with executive level and counterpart administrative staff, both internally and externally.Admin Team Building/Support:Work as part of a strong admin team to manage the needs of the overall organization. |
