JOB TITLE:

Office Associate, Senior - Dean of Students Office

JOB PURPOSE:

Perform complex administrative/management support tasks with discretionary authority; independently make decisions that substantially impact operations within and outside designated unit/program; administratively supervise comprehensive office operations and support staff for department/unit.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Autonomously interpret policy and procedures, providing interpretations requiring extensive knowledge of university, state, and federal rules and regulations.
  • Schedules, prioritizes, coordinates and performs administrative office support activities related to meetings, events, and office services. Assists with research, gathers information and provides coordination of activities and administrative support of projects, programs, or services. Receives and responds to inquiries and information requests, resolves issues, and/or refers requests to appropriate resources.
  • Facilitate front-line interaction for DOS Office including interactions with administration, students, faculty, staff and public. Provide information to the above populations regarding DOS policies, procedures and eligibility requirements, range of services and maintain confidential information.
  • Coordinate information between individuals, departments and/or outside agencies as directed; assist with communication regarding extenuating circumstances involving students; assist with problem resolution as required.
  • Provide administrative oversight for Maxient database (e.g. includes maintaining system, assigning cases to staff, pulling data to review trends and end-of-year reports).
  • Assist students with the excused absence, school withdrawal, admissions consultation, and exception requests processes, and follow internal and external standards. Coordinate with DOS staff on appropriate next steps.
  • Maintain departmental purchase-card, submitting required documentation for payment processing.
  • Participate in UW CARES team weekly meetings to assist in case management documentation and record keeping.
  • Hire, train, and supervise part-time support staff including work-study students.

REMOTE WORK ELIGIBILITY:

This position provides vital support to campus customers and requires the successful candidate be available to work on campus.

The successful candidate must be eligible to work in the United States, as sponsorship for work authorization or work visas is not available for this position.

MINIMUM QUALIFICATIONS:

Education: Associate's degree

Experience: 1 year progressively responsible work-related experience

Required licensure, certification, registration or other requirements: None

DESIRED QUALIFICATIONS:
  • Bachelors degree from accredited University
  • Attention to detail
  • Experience planning, facilitating, and coordinating meetings
  • Ability to exemplify professionalism and maintaining confidentiality; working with sensitive information
  • Experience with interpreting data and reporting writing
  • Strong computer skills with proficiency using standard office software (e.g. Microsoft Office Suite).
  • Exceptional interpersonal, verbal, and written communication skills with high level of orientation to customer service.
