In the role of an Administrative Supervisor you will be working in our Surgery Department.


Purpose

The Administrative Supervisor plays a critical role in overseeing daily operations, program development, and supporting faculty and staff in the Division of Vascular & Endovascular Surgery. This position is responsible for supervising administrative personnel, ensuring efficient workflow, managing operational processes and implementing strategies to improve administrative support services. The Administrative Supervisor will collaborate with division leadership to support clinical program development, personnel management, faculty and staff recruitment, space planning, and operational processes.

Primary Responsibilities

  • Administrative Operations & Staff Supervision
    • Supervise administrative support staff, including hiring, training, performance evaluations, and professional development.
    • Oversee day-to-day operations, ensuring alignment with institutional policies and divisional objectives.
    • Monitor workflow, assign responsibilities, and optimize processes to improve efficiency.
    • Conduct team meetings to foster communication, set goals, and implement best practices.
    • Provide backup support for administrative tasks when necessary.
  • Human Resources & Faculty/Staff Support
    • Assist in faculty and staff recruitment, onboarding, and personnel management.
    • Coordinate job postings, hiring processes, and employee transitions within the division.
    • Support faculty with appointment and promotion processes, ensuring compliance with institutional guidelines.
    • Address administrative staff concerns and resolve operational issues.
  • Financial & Operational Management
    • Monitor office and event expenditures and oversee purchasing processes.
    • Approve purchase orders, check requests, travel expenses, and other financial commitments.
    • Ensure accurate record-keeping and reporting related to financial and personnel matters.
    • Assist with space planning, office relocations, and resource allocation.
  • Process Improvement & Compliance
    • Implement and refine administrative procedures to improve overall effectiveness.
    • Develop training strategies to enhance administrative performance.
    • Ensure compliance with institutional policies, procedures, and regulatory requirements.
  • Project Coordination & Special Initiatives
    • Support division leadership with special projects, including faculty recruitment efforts and operational strategy initiatives.
    • Assist in organizing meetings, events, and conferences at national and international levels.
    • Collaborate with MCW departments and external partners to streamline division operations.

Position Requirements:

Qualifications

  • Minimum Education: Associate's degree required; Bachelor's degree preferred.
  • Minimum Experience: 3+ years in administrative management or a related field.
  • Preferred Experience: Supervisory experience in an academic or healthcare setting.
