Coordinator, Clinician Professional Practice Operations

Regions Hospital in St. Paul, MN is looking for a Clinician professional practice operations coordinator to join our Emergency Department. The Clinician professional practice operations coordinator will have primary responsibility for creation and ongoing maintenance of physician and advanced practice clinician schedules, payroll and PTO reporting, physician and advanced practice clinician expense reimbursement, new provider onboarding, and general administrative office support.

Tasks involved in schedule creation include user profile set up, scheduling rules generation and maintenance, a detailed understanding of the technical capabilities of the electronic scheduling software, initial schedule generation, and subsequent schedule manipulation. Schedule maintenance duties include managing unfilled shifts and sick calls during regular business hours and occasionally after hours. The payroll reporting tasks include biweekly reporting for all advanced practice clinicians and moonlighting physician staff. This role will also be primarily responsible for new provider onboarding, credentialing, and privileging, frequently at multiple practice locations. General office support tasks include assisting with meeting scheduling for department leadership, distributing mail, ordering supplies, answering phones, greeting visitors, and other duties as assigned.

Work Schedule: Monday through Friday, Business Hours.

Required Qualifications:



  • Associate's degree
  • 2-4 years of experience in scheduling, program coordination, or other complex fast paced environment.

    • Must have or be able to develop a detailed understanding of the technical components of an electronic shift scheduling software and Microsoft Excel.
    • Ability to identify potential problems early and superior problem-solving skills with an ability to creatively move staff to fill open shifts.
    • Ability to independently manage complex systems with minimal direct oversight.
    • Ability to learn a process and complete tasks with little re-training/re-teaching.
    • Ability to establish and maintain effective working relationships and function well in a team culture
    • Able to manage multiple deadlines for a variety of tasks that often overlap.
    • Ability to handle and maintain confidential information with discretion
    • Ability to organize and schedule complex and multiple calendars, work schedules and meetings
    • Thorough knowledge and capabilities in all of Microsoft Office Suite with advanced capabilities in Power Point, Word, Excel; must be proficient with video conferencing software and conference call set up.
    • Attention to detail and ability to maintain accurate records/data
