Purpose of Position
Perform a wide range of administrative and office support activities for Procurement Services to facilitate the efficient operation of the public bid process, insurance claims processing and surplus property management
Primary Responsibilities
Maintain electronic and hard copy filing system for public bids, contract awards, insurance applications, and claims. In accordance with statutory requirements for public bidding, this position posts all solicitations to our plan room and maintains those files. Coordinates pre-bid and pre-proposal meetings and public bid openings. Handles all formal open records requests and any other requests for information or data regarding solicitations.

Responsible for maintaining the surplus property inventory, processing new inventory and inventory, sold, donated or scraped. Assists the student surplus property clerk in organizing equipment as needed and processing day to day sales.

Responsible for day-to-day coordination and administration of various university insurance and risk management functions. Responsible for collecting information and completing annual enterprise-wide insurance renewals. Process insurance deposits and transfers to various departments. Run the asset insurance schedule quarterly.

Organize, proofread, and fact-check bidding documents before publications

Assist as a backup to others in the office, including vendor creation, PCard processes, and contract management.
Qualifications
A high school diploma or GED and 2 years of experience is required.

General office and computer skills, ability to handle multiple tasks, public speaking, ability to read and understand complex documents, ability to prioritize tasks and make decisions weighing competing outcomes and constituencies.
