In the role of Executive Assistant you will provide administrative support for the Office of the Provost of the Medical College of Wisconsin (MCW). Under general direction, perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures. Duties include diligent management of dynamic calendars, initiating correspondence and providing requested data to leadership workgroups, analyze data, prepare final reports, manage special projects, and provide leadership as necessary. Work with team to process financial transactions for the designated cost centers. Serve as liaison to both internal and external customers. Position requires coordination of a variety of activities simultaneously. Expected to function independently of direct supervision and exercise sound judgment in handling confidential information with senior management and senior medical officers.

Primary Responsibilities

  • Anticipate and initiate action regarding administrative functions while coordinating and leading projects.
  • Provide administrative support for the Provost and team. Compose correspondence as needed, which may contain confidential information.
  • Coordinate schedules, meetings, appointments, and travel itineraries and related arrangements.
  • Use complex functions of a variety of computer applications and software packages to compile data and information from multiple sources to prepare reports and presentations for use at local, regional and national events.
  • Proofread and format documents to ensure accuracy.
  • Screen telephone calls and visitors to resolve complex inquiries.
  • Greet and direct visitors in professional atmosphere. Exceptional customer service skills required.
  • Assist in budget preparation and monitoring expenditures.
  • Distribute mail and organize filing systems accurately maintaining records.
  • Other duties as assigned.

Qualifications

Appropriate experience may be substituted on equivalent basis.

Minimum Qualifications:

  • Associate's Degree
  • 5 years of executive assistant experience

Preferred Qualifications:

  • Bacherlor's Degree
  • 5 years or more of experience in similar role
