Job Description

The Department of Neurosurgery is seeking a highly motivated individual to serve as the Executive Assistant to the Chair of the Department of Neurosurgery. This position will perform complex administrative tasks and provide direct assistance to the Chairman. Duties will be performed independently and with minimal supervision and include:

Provide professional staff assistance ensuring coordination and management of the chair's calendar and appointments. This includes scheduling meetings, coordinating logistics, and ensuring all materials are prepared in advance. Meetings and appointments are typically complex including coordination of calendars, communicating with other busy executives, and their respective teams.

Monitor incoming communication and respond to inquiries on behalf of the Department Chair.

Gather and compile information; develop and maintain spreadsheets, written reports, and PowerPoint presentations; maintain databases and support websites updates; attend meetings and record/edit/distribute minutes; research and respond to policy related questions; and maintain a high level of confidentiality at all times.

Interface with Department Faculty, Staff, Resident Physicians, and officials from the University, School of Medicine and other Departments requesting time or information from the Department Chair.

Drafts complex forms, memos, letters, and presentations for internal and external recipients; proofreads drafts to correct grammar, spelling, and formatting.

Drafts meeting agendas, attends meetings, and drafts minutes.

Coordinates department events (holiday party, faculty retreat, faculty recognition banquet, etc.) within budget and with committee input.

Coordinates annual faculty evaluations.

Shift

Shift Type: Monday-Friday 8am to 5pm.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Years of Experience: One year of related experience in business administration, personnel administration, or higher education administration.

Additional Training: Experience working with Microsoft programs, including Outlook, Word and Excel, data visualization, and PowerPoint.

Anticipated Hiring Range

Hiring Range: $18.50 to $34.18/hour
