About You:
You are adaptable, dynamic, and embody high energy. You can pivot quickly between competing priorities, operate with poise and tact, and understand confidentiality across different groups. You have a high level of self-discipline and can find information with little oversight, operating with ambiguity and simplifying complex problems for executives.

Essential Duties & Responsibilities:



  • Heavy Calendar Management:Manage and coordinate calendars using Outlook and Office 365, scheduling meetings and travel arrangements.


  • Collaboration Tools:Utilize MS Teams, Slack, and Zoom for effective communication and collaboration.


  • Expense and Travel Management:Submit expense reports and manage travel arrangements using SAP Concur.


  • Confidentiality:Maintain and protect confidential information across different groups.


  • Problem-Solving:Simplify complex problems for executives, ensuring clarity and actionable steps.


  • Adaptability:Quickly pivot between competing priorities while maintaining poise and tact.


  • Multi-location Coordination:Work virtually between different locations and ports, collaborating with executive assistants in this and other offices.


  • Continuous Learning:Take direction and feedback from senior administrative staff and apply it to continuously learn and grow in the role.


  • Tech Savvy:Learn new tools and technology quickly, and troubleshoot basic tech challenges for executives and their local teams.


Requirements & Qualifications:



  • Experience:Demonstrated experience working in a professional corporate office and supporting 2 or more senior executives simultaneously.


  • Skills:Proficiency in Microsoft Office 365, MS Teams, Slack, Zoom, and SAP Concur.


  • Attributes:High energy, self-discipline, ability to operate with ambiguity, excellent problem-solving skills, tech-savvy, and a commitment to continuous learning and growth.


Experience:



  • 3-5 years of experience in a corporate office environment, supporting multiple senior leaders simultaneously.
  • Proven track record in an administrative assistant or executive assistant role, specifically supporting senior leadership.
  • Bachelor's Degree or Higher education combined with professional experience will be considered.
  • Travel up to 3-4 times a year
