Administrative Assistant II (Part Time)

** This position is part time, 24 hours per week. **

We are seeking a part time highly organized and detail-oriented Administrative Assistant to provide support for the Global Operations Executive Business Partner.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

Travel Coordination:


  • Manage and coordinate travel arrangements for executives, including flight bookings, hotel accommodations, and transportation.
  • Ensure all logistics are in place for business trips, including creating itineraries and tracking expenses.

Schedule Management:


  • Maintain and update the calendars finance executives
  • Handle all scheduling requests in a timely and professional manner.

Expense Reporting:


  • Assist in the preparation and submission of VP and department expense reports.
  • Help manage the US Finance Department purchasing card expense reports, ensuring all receipts and documentation are accurate.

Event Planning and Coordination:


  • Assist in the planning and execution of connection events and team-building activities for the US Finance Department.
  • Coordinate logistics, catering, and other necessary arrangements to ensure successful events.

Purchase Order Management:


  • Set up and maintain detailed purchase orders for the Finance Department, ensuring all transactions are accurately recorded and processed.

SharePoint Site Maintenance:


  • Assist with requests and maintenance for Global Finance SharePoint site

including modifying permissions to meet the current needs of the department

Charitable Contributions Tracking:


  • Track and gather all charitable contribution receipts for audit and marketing purposes

Organizational Chart Maintenance:


  • Regularly update the Global Finance organizational chart to reflect changes in staff roles
  • Involves collaboration with global Finance teams

Ad-Hoc Administrative Projects:


  • Provide administrative support in the maintenance and management of company insurance, including document tracking and updates.
  • Assist with various ad-hoc projects as needed by the finance team.

Skills/Experience:


  • Bachelor's degree required
  • 3+ years' experience as an administrative or executive assistant
  • Intermediate proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational and time-management skills
  • Ability to multitask and prioritize tasks effectively
  • Strong written and verbal communication skills
  • Attention to detail and problem-solving skills
  • Professional demeanor and positive attitude
  • Ability to maintain confidentiality and handle sensitive information
