We are in search of an Event Coordinator II or Event Coordinator III to join our Learning and Research department in Spokane, Washington (Headquarters). This full-time position reports to the Event Planner and supports the planning and coordination of AgWest events.

After an initial in-office training period, this position is eligible for workplace flexibility and a one-time home office stipend. Employees are expected to continue working from their office location a minimum of 60% of the time.

Compensation Information

The base salary range for this position in Spokane, Washington is:

Level II:
Typical starting range: $43,100 - $57,400
Full base salary range: $43,100 - $$64,600
Annual performance-based incentive target is 6% of base salary.

Level III:
Typical starting range: $47,200 - $62,900
Full base salary range: $47,200 - $70,800
Annual performance-based incentive target is 6% of base salary.

Job Requirements

  • Provide clerical support for AgWest events including AgWest Connect Calendar updates, corporate rate management, management of customer and employee inquiries in events email inbox for all in-person events, filing of contracts/billing/event details, maintaining and updating work instructions, mail room coordination, event materials inventory, training room organization, and other administrative tasks related to event support.
  • Support and maintain the digital event registration site including event construction, registration, reporting, communication, and user support for participants.
  • Assist in contracting and planning for a variety of employee learning on-site meetings, as well as assist the Event Planner with room block management and waitlists for large scale employee meetings.
  • Serve as on-site contact for hotel and event venues as assigned, manage food/beverage agreements (BEOs) and provide on-site event logistics support at events.
  • Support the monitoring of events to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of problems; participate in post-event evaluations to drive continuous improvement.
  • Manage relationship with vendors and third-party sourcing agencies as needed. Cultivate new relationships aligned with event objectives and company needs.
  • Support overnight event logistics including registration, hotel room reservations and assignments, transportation and food throughout event life cycle.
  • Process event invoices for accuracy and preparation for payment; maintain necessary records and billing history.
  • Perform all duties and maintain all standards in accordance with company policies, procedures, and internal controls.
  • Other duties as assigned.

Minimum Requirements

  • Administrative or event support experience in a professional setting
  • Demonstrated organizational, task and time management skills
  • Exceptional customer service orientation in person, in writing, and over the phone
  • Ability to travel to multi-day offsite events by vehicle or aircraft
  • Excellent written and verbal communication skills
  • High attention to detail and follow through
  • Strong interpersonal skills and the ability to build effective working relationships
  • Proven ability to provide systematic and dependable follow up and preparedness
  • Basic knowledge of contract language in an event setting
  • Demonstrated proactive approach to problem-solving with sound decision making capability
  • High school diploma or equivalent

Preferred Requirements

  • Experience with integrated enterprise event planning software applications (such as Cvent)
  • Progressively responsible hospitality or event support experience, preferably for organizations or events of 300 individuals or more
  • Experience supporting large and complex events at venues in the western United States (including Washington, Oregon, Idaho, Montana, California, Arizona, and Oregon)
