Pay Rate/Range: The budgeted salary range that the University reasonably expects to pay for this position is $68,500-$72,000/yr. The full salary range for this position is $63,800-$111,600/yr.

Brief Summary of Job Duties:
Under the direction of the Assistant Director, Sport Programs and Senior Associate Director, the Sport Club Coordinator is responsible for the design, implementation, coordination, and the general supervision of the Recreation Department's Sport Club program. Plans, organizes, and leads the comprehensive sport club program involving 28 teams, approximately 1,100+ student athletes, coaching staff, a strength and conditioning coach, and training room personnel. Provides vision, mentoring, and strategic direction for the students who lead their particular club. Sets program procedures and approves activities/schedules. Ensures all club officers are aware of and compliant with applicable UCSB and UC policies and procedures in addition to local, state, and federal laws. Facilitates the scheduling of space for club activities, works with the marketing team to ensure these programs are effectively marketed to the UCSB community, handles all comments/complaints regarding the program. Designs and prepares the annual program budget and assists teams in preparing individual team budgets. Responsible for Sport Club programs, teams and administration budgets. Manages membership recruitment and registration, the programming and, and all fundraising events for the Sport Club programs and teams. Works with the Assistant Director, Events & Scheduling on the operation of games and tournaments. Recruits, selects, trains, schedules and evaluates staff. Implements programs to measure development of employees, volunteers and students. Provides a quality control system for maintaining high safety standards. Responsible for all risk management policies and duties pertinent to program participants and staff. Establishes policies and procedures to reduce general liability. Ensures all staff are appropriately trained and certified. This position also incorporates select responsibilities from UCSB's Intramural Sports program, particularly in the areas of event management, staffing systems, and in-service education. The role emphasizes student development, staff supervision, and safety, and contributes to the department's overall mission of fostering community through sport. During the summer, this position supports the Department's Summer Youth Camps program.
Required Qualifications:
- Bachelor's Degree in related area
- 1-3 years Professional experience in collegiate recreation, student organization advising, or sport program leadership.
- 1-3 years Experience supervising student employees, coaches, or volunteers in a recreation or competitive sports setting.
- 1-3 years Strong knowledge of event planning, risk management, student development, and budget administration.
- Skills to develop original ideas, creative problem solving skills in a varied and challenging environment
- Demonstrated strong leadership and interpersonal skills and the ability to work effectively across the organization, internally and externally in nonroutine situations
- Strong service orientation; program management, sound judgment and decision-making, critical thinking skills

Job Functions and Percentages of Time:
30% Program/Operations
Designs, implements, and evaluates a comprehensive Sport Club Program with 28+ competitive teams. Provides vision and strategic planning for sport clubs and supports the student-led model through mentoring and oversight. Coordinates practice, game, and travel logistics, including facility scheduling and equipment management. Serves as the primary liaison between student leaders, coaches, officials, athletic trainers, and administration. Leads judicial and disciplinary processes, including due process and case management for individual or team incidents. Provides occasional support or guidance on high-risk Intramural events or tournaments when needed. Ensures visibility of the program through marketing collaboration and alumni engagement. Provides on-site supervision for large-scale, high-risk events and actively resolves participant concerns.
25% Personnel Management & Supervision
Hire, train and evaluate full time professional staff including Sport Club Coaches. Work with the Assistant Director to manage annual contract for the coaches. Recruit, hire, train, and evaluate part time student employee staff. Create, encourage, and support professional development opportunities for Sport Club Coaches, including professional association involvement, training programs and individual mentoring. Ensure a strong, consistent educational system for club coaches, club officers, and club members. Topics each year should include basic policies and procedures, and other relevant issues for student clubs and organizations. Provides a quality control system for maintaining high safety standards. Responsible for all risk management policies and duties pertinent to program participants and staff. Establishes policies and procedures to reduce general liability. Ensures all staff is appropriately trained and certified. Ensures proper staffing of events to limit risk liability. Maintains current and comprehensive manuals in relations to policies and procedures. Manages, supervises, and stores (office of record/custodian) medical clearance documentation for Sport Club participants and University liability waivers. Supports training and supervision of Intramural staff, when needed.
25% Budget Planning and Management
Responsible for the preparation, forecasting and monitoring of income and expense budgets. Develop, implement, and maintain a life-cycle plan for the purchase and turnover of equipment used in the Sport Club program. Design and prepare annual program budget and assist teams in preparing individual team budgets. Responsible for all Sport Club programs, teams and administration budgets. Responsible for long term budget forecasts and analysis of the Sport Club budget. Prepares quarterly and annual reports for the department Director that present program evaluations, statistics, and budget accounts recommendations. Ensures that all sports specific generated income is deposited and allocated to the appropriate accounts. Provides inventory reports and recommendations for facilities, equipment and supplies. Provides guidance to student leaders who plan and organize team travel and team purchases. Approve those expenditures if appropriate and works closely with the department Admin team to ensure flow and continuity. Ensures that student fees and funds are properly assessed and allocated, within the restrictions set by the ballot language of the student initiative.
10% Marketing and Development
Works with the Recreation Department marketing team to ensure all clubs are effectively marketed to the UCSB community and to alumni supporters. Coordinates with the Assistant Director, Sport Programs, Senior Associate Director, and the Student Affairs Development Officer to generate funds through team donations, solicitations, and campaigns. Perform public relations activities on behalf of the Recreation Department and/or the individual clubs.
10% Miscellaneous
Serve as departmental representative on various committees on campus. Supports and advises the Sport Club Executive Council. Participates in staff meetings, activities and events. Maintain files and records and prepare reports. Assists with the management of youth camps as needed. May be required to perform other duties as assigned.
