About the Job The Department of Veterinary Resources [DVR] team at Children's Hospital of Philadelphia Research Institute supports and consults on all scientific, medical, and compliance issues related to animal-based research. The team's responsibilities include clinical veterinary services, animal husbandry, animal procurement, animal enrichment, investigator support, training, and compliance oversight. The DVR senior director and attending veterinarian implements the program of veterinary care and provides supervision of the DVR staff to identify, treat, and prevent disease introduction and/or transmission in colony research animals. The DVR veterinary team is available for consultation on animal-based research protocols, laboratory animal management, and development of grant applications for research involving animal models. This role plays a vital role in supporting the day-to-day operations of DVR to assure the highest achievable quality and consistency of Animal Census, adherence to standards established in DVR. Responsible for the weekly scanning of cages in all facilities. Activating/deactivating all cage cards and cage card strips in a timely manner. Printing and placing all principal investigator [PI] requested cage cards to the desired location. Responsible for ensuring all cage cards are relocated to their correct locations. Reviewing new breeding card requests and printing breeding cards for all facilities. Reviewing and entering all vet tech charges at month end. Reviewing and distributing monthly external invoices for Penn PIs. Updating and monitoring all Penn account receivable accounts. Ensure room keys are up to date. Acting as a designated backup to take on placing animal orders for senior roles. This role is responsible for receiving, labeling, warehousing, tracking of materials and certificates and expiration dates, and initiating incident reports according to established standard operating procedures (SOPs). The position requires good documentation practices, team work, and an ability to consistently perform in a regulated environment. All employees are responsible for compliance with written policies and procedures and for correctness, truthfulness, timeliness, legibility, integrity, and accuracy when recording data and observations in compliance with current regulations.
What you will do
- Responsible for receiving, labeling, warehousing, and tracking of materials and certificates and expiration dates
- Perform weekly scanning of cages in all facilities.
- Responsible for ensuring all cage cards are relocated to their correct locations after animal transfers.
- Print and place all PI requested cage cards to the desired location.
- Activate/deactivate all cage cards and cage card strips in a timely manner.
- Ensure room keys are up to date with correct species, housing designation, and max capacity by working with husbandry group.
- Responsible for transfer and replenish material between warehouse locations
- Act as a designated backup to take on placing animal orders for senior roles including reviewing new animal orders, contacting labs requesters for additional order information, obtaining grant approvals from research business managers or PIs, contacting vendors by phone to place orders.
- Performs general duties
- Ensure scanners and cage card printers are functioning properly.
- Performs tasks per material control SOPs
- Understand, follow, and maintain compliance with all appropriate SOPs, procedures, regulatory, and quality assurance guidelines.
- Performs inventory cycle counts
- Review and enter all vet tech charges at month end by working with vet tech group.
- Initiates incident reports
- Performs other duties as assigned
- Update all account receivable accounts for PENN PIs. Monitor fund balances and contact PENN research business managers to request new purchase orders.
Education
- High School Diploma / GED Required
- Associate's Degree Preferred
Experience
- At least one (1) year of inventory, materials, or warehouse experience Required
- At least three (3) years of inventory, materials, or warehouse experience Preferred
- At least one (1) year of experience in cGMP/GLP (or other regulated) environment Preferred
- At least one (1) year of animal husbandry experience Preferred
Knowledge, Skills and Abilities
- Basic proficiency with Research Administration software (Cayuse) (Preferred proficiency)
