Posting Summary
The New Jersey Certified Public Manager Program was developed jointly by Rutgers University's School of Public Affairs and Administration ( SPAA) and the New Jersey Civil Service Commission to meet the complex demands and challenges of the 21st-century public management environment. The CPM program's main mission is to provide management leadership training to Managers, Administrators and Supervisors working in local, state government, as well as in nonprofit organizations. The Certified Public Manager ( CPM) Program in the School of Public Affairs and Administration is seeking someone to provide administrative and program support for the CPM students. He or she will perform professional work consistent with an understanding of the mission, vision, role, and goals of the CPM program.
The employee's responsibilities will include the coordination and/or creation of the following:
Provides administrative support to the CPM office by assisting with the coordination and administration of the CPM program, projects, and processes and with the preparation and control of records, statistics, reports and documents.
Assists with processing various administrative documents and data on student completion records.
Communicates effectively with students, faculty, program partners, and the general public.
In coordination with the director assists with logistics for CPM cohorts and the annual graduation ceremony.
Ensure students receive registration information and respond to any questions, as directed.
Prepare welcome packet for new cohorts.
Assist in preparation of spreadsheets which track student participation, attendance, and assignments.
With Director approval, respond to student requests for excused absences.
Update cohort schedules as directed.
Follow up with student payments as directed.
In conjunction with Director, track student completion status and send completion letters.
Share information as directed with the Civil Service Commission.
Contact faculty with teaching assignments in new cohorts as directed.
Send weekly e-mail reminders with teaching assignments to faculty.
Remind faculty to grade all the student's assignments, as directed.
In conjunction with Director, communicate regularly with Cohort Advisers regarding student progress in program.
Send evaluations to faculty at the end of each module.
Send schedules with faculty assignments to Civil Service, as directed.
Create graduation spreadsheet and track student completion as directed.
Follow up on invitation to Graduation to students and track responses.
In conjunction with Director, prepare spreadsheet for Certificates and ensure accuracy.
In conjunction with Director, coordinate logistics and food for the event with the Director.
Prepare the Graduation Program which includes names, titles, and capstone project, as directed.
In conjunction with Director, prepare Graduation gifts for students.
Copy materials for Graduation.
Attend ceremony and assist with logistics.
Respond to phone and email inquiries.
Prepare reports as directed.
Maintain a list of potential students and send messages as new cohorts are announced, as directed.
Respond to requests for information from the NJ Civil Service Commission, as directed.
Other Duties as Assigned: subject to CPM Director requests and needs to complete specific deadlines or duties.

Qualifications


Minimum Education and Experience
Graduate degree, preferably MPA
Certifications/Licenses
Required Knowledge, Skills, and Abilities
Written and oral communication skills, excellent at organization and attention to detail, ability to work independently, proficient in Word and Excel, previous experience in student support services.
Equipment Utilized
Proficiency in Word and Excel.
Physical Demands and Work Environment
Standing, sitting, walking, talking, and hearing. No special vision requirements. Occasional lifting up to 25 lbs.
