The Student Involvement and Traditions Office (SIT), formerly the Office of Student Leadership Involvement, and Civic Engagement (SLICE) at Carnegie Mellon University, consists of experienced professionals with an outstanding ability to: cultivate relevant, one-to-one mentoring relationships with exceptional students; deeply influence the growth and development of the leaders of tomorrow; craft unique experiences building on the talents of a diverse, multifaceted community; and contribute to our Student Affairs Division whose cornerstone is a deep, sustained dedication to the ongoing care of its students.

Our office is searching for an Administrative Assistant II to join its dynamic team. Engaging with students as they interact with our department, you will serve as a primary point of contact for the Office Suite. The Office Suite includes both the Student Involvement and Traditions (SIT) office as well as the Community Engagement and Leadership Development (CELD) In your work, you will work closely with SIT and CELD colleagues on student activities, campus traditions, leadership development, civic and community engagement, and operations to advance our missions. We are seeking candidates who are excited to be able to connect students to campus involvement opportunities and be champions of all of the uniquely-CMU traditions that make students proud to be a Tartan.

Core Responsibilities will include:

  • Comprehensive office reception functions and first-line triage for both SIT and CELD including, but not limited to, answering and directing incoming phone calls, greeting walk-in guests and directing appointments, basic advising and direction for student inquiries, responding to and routing emails sent to a variety of inboxes, and distributing mail and deliveries daily.

  • Assist Office Suite staff, other than directors, by serving as primary administrative support to professional staff.

  • Complete various efforts related to scheduling, coordination, and reservations, including project and event support.

  • Support of the student organization experience including but not limited to key card access, space reservations, work orders, form management, and triage of student organization finance questions.

  • Completion of the van reservation process, including approvals and fulfillment, and van maintenance in collaboration with the Program Coordinator.

  • Upkeep of general office orderliness and cleanliness, including the Nexus of Civic Engagement, Suite general reception area, and shared break room.

  • Daily management for the Nexus of Civic Engagement including but not limited to reservations form triage and approvals, Nexus consultation and event planning meetings with internal and external collaborators, room setup, calendaring, tech support, and walk-throughs of the physical space under the direction of the Assistant Director.

  • Direct supervision and training of 4-5 student positions working from the Office Suite's front desk.

  • Complete tasks related to departmental communication to campus partners, students, and external audiences including maintenance and copy development for the website, development of tabling supplies, creation of marketing materials, and distribution of posters.

  • Participation in the internal Communications and Marketing working group.

  • Other duties as assigned

You should demonstrate:

  • Ability to champion an innovative and collaborative work environment

  • Proven administrative support and office management experience, organizational and planning skills, and oral, written, and interpersonal and intercultural communication skills

Qualifications:

  • High School Diploma or GED required; Bachelor's Degree preferred.

  • At least 5 years of related experience, preferably in a higher education or high-volume setting

  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
