This role has shared responsibility for ordering from the library materials budget. They will work closely with vendors, making purchases using a purchasing card, purchase orders, invoices, and contracts. They will verify receipt and access to information licensed or purchased. This individual works closely with the Law Library's Library Operations Associate, coordinating processing and preparation of materials to be added to the collection. This individual will also have accountability for collecting and maintaining electronic resources management data, including contract lifecycle management and usage data. This individual works closely with the Library Operations Associate and will participate in collection development work with the public services librarians and library director. Maintains a working relationship with other library staff and with University of Illinois procurement and purchasing teams.

Duties & Responsibilities:

Ordering and Receiving
  • Places all orders in the University of Illinois procurement systems or with vendors.
  • Assigns vendors according to departmental guidelines. Maintains vendor assignment guidelines, and monitors vendor performance.
  • Updates and approves order records in Alma acquisitions database, making sure they reflect request information and conform to departmental requirements and do not over expend the library's budget.
  • Oversees creation and submission of orders to vendors by best means available. Creates Purchase Requisitions for the University Procurement office as needed for larger purchases.
  • Responsible for initiating the processing of claims for outstanding monograph orders and reordering cancellations. Responds to inquiries from vendors relating to orders.
  • Reviews received items and resolves complicated receiving problems identified by the receiving staff
  • Works with the Systems Librarian in selection of proper records for the integrated library system.

Electronic Resource Management
  • Places contracts in the University of Illinois procurement system for review and approval
  • Manages the contract lifecycle to ensure review of current licenses occurs within time frame required by each license, and that licenses are processed and approved to ensure ongoing access to licensed information.
  • Works with the director on usage data assessment, gathering and maintaining data from a vendors and identifying means of creating usage data sources when not available directly from a vendor.

Materials Processing
  • Processed materials received, including either updating physical materials or coordinating with others to ensure updates are processed.
  • Performs copy cataloging for new materials as well as updating records during deselection.

Invoice Management
  • Communicates with vendors and internal University financial staff to assure the most efficient order follow up and invoice payment.
  • Performs follow-up searching for bibliographic information required to process cancels, reorders, claims, and correspondence from vendors.
  • Resolves invoice/fund problems identified by receiving staff or library business office personnel

Departmental Systems - Acquisitions
  • Functions as resource person for searching and ordering functions of library acquisitions technology and electronic resources and is responsible for assisting library staff in sourcing new titles.
  • Maintains a working knowledge of automated systems and bibliographic databases, including Alma and OCLC.
  • Maintains an awareness of the full complement of search tools available to the staff and a working knowledge of those tools which are fundamental to the processing of orders and reorders (OCLC, Library of Congress bibliographies and foreign equivalents, internet search tools).
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:


1. High school diploma or equivalent.

2. Any combination totaling two (2) years (24 months) from the following categories:

A. work experience in a library or equivalent setting.

B. college course work in any field as measured by the following conversion table:
  • 30 semester hours equals one (1) year (12 months)
  • Associate's Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)

3. A total of two (2) years (24 months) work experience in a library or equivalent setting performing progressively more responsible work consistent with the next lower level of this series.

Preferred Qualifications:
  • Masters of Library Science
  • 3 years of experience working in a library acquisitions and technical service role.
