The previously determined salary range for this position is $28.58 to $34.82
Final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, and budget constraints.

This position is located on the Peoria campus 170 miles southwest of Chicago. (On-Site Work - Not Remote).

Position Summary
Oversees administrative functions of the Department of Health Sciences Education & Pathology. Provides coordination, administrative support, fiscal management and facilitation of faculty appointments and promotions. The duties performed require extensive knowledge of the organization, programs, policies, and procedures of the institution.

Duties & Responsibilities

  • Provides administrative support to the department Head and faculty members.
  • Maintains an overview of departmental responsibilities and deadlines and assists in the coordination of department scheduling.
  • Drafts communications/reports/agendas for department and faculty, develops, and distribute any other correspondence as directed.
  • Ensures a smooth and efficient flow of all forms of incoming/outgoing communication (mail, correspondence, phone calls, visitors, etc.) Assures faculty have the necessary tools and resources (computers, access, printers, scanners, software, etc.)
  • Ensures that appropriate data is generated for the completion of periodic reports.
  • Provides record keeping using Word, Excel and other databases.
  • Assists in planning projects, programs, events and meetings.
  • Evaluates operational procedures and recommends improvements for the efficient operation of the department.
  • Serves as the resource for faculty and staff regarding policies, procedures and rules.
  • Serves as the department liaison within the University and for outside organizations.
  • Develops budget and manages budget activities with and for the Department Head.
  • Maintains itemized records of expenditures; monitors contracts and orders; approves purchases /reimbursements, reconciles funds and keeps Head apprised of monetary issues and financial status.
  • Maintains confidential information related to salaries.
  • Facilitates faculty recruitment, appointment and promotions and serves as a resource to salaried and non-salaried faculty on matters related to academic appointments (e.g. computer access, professional development, etc.)
  • Maintains control of confidential documents, including personnel, student records and historical documentation.
  • Supervises day-to-day office operations.
  • Supervises office staff, including work assignments, orientation and development, performance evaluations.
  • Assists in developing job descriptions and overseeing personnel transactions and searches.
  • Works collaboratively with Academic Affairs staff to address staff responsibilities and to support curricular deployment.
  • Includes oversight of office manager responsible for tracking of student's enrollment in electives and grades for the department faculty.
  • Perform other related duties and participate in special projects as assigned.
  • Attends meetings and takes minutes as assigned.


  • Minimum Qualifications

    • High school graduation or equivalent
    • Any one or any combination totaling five (5) years (60 months) from the following categories:
      • college course work in business, finance, accounting or a related field:
        • 60 semester hours or an Associate's degree equals one (1) year (12 months)
        • 90 semester hours equals two (2) years (24 months)
        • 120 semester hours or a Bachelor's degree equals three (3) years (36 months)
        • Master's degree or higher equals four (4) years (48 months)
      • progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principle.
