General Purpose of Job: To provide administrative support to the Director of Sparrow Medical Supply and management staff to maximize quality of care and services provided to the customers of Med Supply. Essential Duties: This job description is intended to cover the minimum essential duties assigned on a regular basis. Associates may be asked to perform additional duties as assigned by their leader. Leadership has the right to alter or modify the duties of the position.
- Performs administrative duties for the Director, including but not limited to, maintaining schedule, word processing, forms design, report preparation, answering phones, composing and forwarding letters and memos, copying and filing.
- Maintains SMS Policies and Procedures manuals, including Right to Know/MSDS, and Exposure & Infection Control.
- Assists in preparing and maintaining contracts/BTRW's
- Prepare and update Medicare applications for all locations.
- Assists in opening and distributing mail and routes facsimiles via electronic fax router to proper destinations in a timely manner.
- Assists with in-service record maintenance to ensure appropriate and timely training for all Caregivers.
- Creates forms, spreadsheets, and presentations as necessary. Maintains forms generated by Sparrow Medical Supply (SMS) and Human Resource policies specific to SMS.
- Schedule all monthly and weekly meetings for management team & necessary leaders.
- Maintains Caregiver working files and conducts SMS new hire orientation.
- Provides administrative support to Human Resources office by processing human resources information and paperwork, payroll information and Caregiver records. Provides support in the hiring process; including setting up interviews, processing new hire paperwork, verifying proper licenses/certifications.
- Provides customer service for caregivers with general questions regarding compensation and benefit issues, Sparrow Human Resources Policies and SMS Policies.
- Provides administrative support to Human Resources office by processing human resources information and paperwork, payroll information and associate records. Provides support in the termination process of each caregiver; including exit interviews and processing termination paperwork
- Order and track SMS uniform needs.
- Order all necessary office supplies.
- Process department timesheets when manager or supervisor is absent.
- Schedule and organize ISO accreditation visits
- Organizes staff functions and events.
- Orders and picks ups up all catering for events.
- Input and track monthly patient satisfaction spreadsheets
- Processes multiple tasks at one time while responding appropriately to continuous interruptions. Ensures deadlines are met.
- Manage time off slips. Maintains online vacation and conference room schedule.
- Order flowers for caregivers that fall under our bereavement policy
- Adheres to Corporate Compliance Polices, including but not limited to, current Medicare guidelines.

* Associate degree in business, office administration, or related field and minimum one year of experience of business/secretarial office experience; OR High school diploma or GED and minimum of three years of business/secretarial office experience |
Specialized Knowledge and Skills |
* Typing 45 wpm. * Demonstrated excellent typing, organizational skills, and ability to take minutes of meetings and meet deadlines. * Extensive computer skills required including keyboarding, word processing, spreadsheet, and database management. Microsoft software experience preferred. * Demonstrated excellent interpersonal/communication skills, verbal and written. * Demonstrated basic filing and organizational skills. * Demonstrated ability to work independently and prioritize workload. * Ability to assure confidentiality regarding sensitive materials. * Highly organized preferred |
