The Highlights:
The Administrative Assistant is a part-time position that provides customer service and administrative task support to both University Counseling & Psychological Services (UCAPS) and Health Promotion & Wellness (HPW) Office in the Lincoln Park and/or Loop Campus office. Key responsibilities are greeting visitors, answering phones, scheduling appointments, managing correspondence, and providing general administrative support to ensure smooth office operations.

What You'll Do:



  • Customer Service
    - Greet and assist students, parents, faculty/staff, and campus partners in a professional and friendly manner.
    - Promptly answer phones and electronic inquiries regarding counseling, health promotion/ services and university health insurance resources and information.
    - Screen phone calls, taking messages and routing calls appropriately.
    - Promptly refers emergencies and crises to the appropriate UCAPS staff member as well as external staff such as Public Safety.
    - Handle inquiries and resolve basic customer issues.
    - Schedules confidential student counseling appointments.
  • Administrative Task
    - Keep accurate detailed records of appointment requests and communicate with professional staff.
    - Manage simple tasks related to waivers, enrollment, and usage of DePaul's Student Health Insurance.
    - Assist with booking rooms for events and weekly Friday HPW meetings.
    - Assist consultant psychiatrist with blood work request.
    - Managing large supply orders to the office.
    - Complete special projects and assignments to facilitate UCAPS & HPW service delivery as requested by the Director, Associate Director, Assistant Directors and/or professional staff.


What You'll Need:


  • High school diploma or GED. Bachelor's degree is preferred.
  • Entry level. One year or more of customer service-related experience preferred but not required.
  • Excellent verbal and written communication skills required.
  • Ability to maintain professional, confidential, and supportive office environment while dealing with high volume of students is essential.
  • Microsoft Office experience necessary, including Excel, Words, Power-Point, etc.
  • Experience with Titanium or other electronic medical record keeping systems is preferred.
  • Excellent verbal, written, and organization skills are essential.
  • Ability to work well with others and multi-task in a fast-paced, often high pressure environment.
  • Sensitivity to student mental health challenges and ability to respond with empathy and discretion as needed, including exhibiting flexibility and diplomacy in handling unforeseen situations.
  • This position will be located at Lincoln Park and/or Loop campus office Monday-Friday.



The anticipated hiring range for this position is: $18.70 to $22.00 per hour.
The salary range provided in this posting reflects what we reasonably expect to pay for this position. Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
We anticipate this role will work 25 hours per week. We prefer that candidates work 5 hours per day, M-F, with the exact time of shifts still to be determined. Candidates will need to be able to work at both the Loop and Lincoln Park Campuses.
