Join Our Team as a Part-Time Administrative Assistant!

Location: Arlington Community Integration Program
Schedule: Tuesday-Thursday | 8:00 AM - 4:00 PM
Hours: Up to 24 hours/week
Pay: $19.00/hour (Part-time, no benefits)

What You'll Do

As our Administrative Assistant, you'll be the friendly face behind our Woodmont (Arlington) center's daily operations. Your work will help create a welcoming, respectful, and efficient environment for individuals with disabilities and their families.

Your key responsibilities will include:

  • Greeting visitors and answering phones with a smile
  • Managing files, faxes, mail, and calendars
  • Preparing documents and supporting meetings
  • Tracking participant time and attendance
  • Assisting with reports, plans, and mass mailings
  • Supporting the team with various admin tasks

Job Summary

Our Administrative Assistants make a difference in the lives of people with disabilities and their families by creating a respectful, dignified, and organized environment for all who enter the facility. The administrative assistant supports with the day-to-day operations of our Community Integration Center by performing administrative tasks as needed such as filing paperwork, answering phone calls, preparing documents for meetings, and managing the calendar.

Primary Duties

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. These duties and responsibilities will be rated on the Annual Performance Review.

  • Maintain the front desk by answering the phone, processing faxes, and paging, greeting visitors, and processing mail.
  • Maintain various rosters, schedules, calendars, and scanning and uploading of participant documents.
  • Input participant time and attendance daily and/or as needed.
  • Process participant plans and quarterly reports as needed.

Additional Responsibilities

  • Assist with mass mailings.
  • Perform other responsibilities as assigned.

Qualifications: Education, Experience, and Certification(s)

  • Required: High school diploma or General Educational Development (GED).
  • Preferred: Associate degree
  • Required: Two (2) years' experience in an administrative position.
  • Must be willing to provide administrative support and coverage at one other LTCIS site (Arlington Weaves), rarely, when needed (once per month).
  • Must pass State of Virginia Department of Behavioral Health and Developmental Services. (DBHDS) fingerprinting and criminal background check.
  • Must pass the ODD (Orientation to Developmental Disabilities) assessment and competencies.

Knowledge, Skills, and Abilities

  • Ability to relate well to people at all levels of an organization.
  • Advanced Proficiency in Microsoft Office skills, and the ability to become familiar with corporate specificprograms and software such as ZOOM and Microsoft Teams.
  • Ability to solve practical problems andadapt to new information and guidance quickly.
  • Excellent verbaland writtencommunication skills.
  • Detail-oriented and able to carry out work with the highest levels of accuracy.
  • Ability to work independently and as part of a team.
  • Excellent customer service skills (phone and in person).

While performing the duties of this job, the employee is regularly required to sit, talk, and hear. The employee may occasionally need to walk within an office setting. Must have the ability to lift 10 pounds frequently and up to 30 pounds occasionally.
