Responsibilities & Expectations:
IPS is seeking a detail-oriented and proactive Talent Acquisition Operations Specialist to support our hiring process by coordinating and managing key aspects of new hire onboarding. This position plays a critical role in ensuring a smooth and efficient transition for new employees, working closely with internal stakeholders and external vendors.
- Coordinate and track all onboarding activities for new hires, including:
- Background checks
- Drug screening
- Motor Vehicle Record (MVR) reviews
- Serve as the primary point of contact for onboarding communication with:
- New hires
- Hiring managers
- Recruiters
- Human Resources Business Partners (HRBPs)
- Onboarding and compliance vendors
- Ensure timely and accurate completion of onboarding milestones by monitoring process workflows and following up as needed
- Maintain documentation and records in compliance with company policies and regulatory requirements
- Troubleshoot and resolve onboarding issues or delays with urgency and professionalism
- Utilize multiple systems to manage onboarding tasks and reporting (e.g., ATS, HRIS, background screening platforms, drug screening portals, etc.)
- Assist in continuous improvement of onboarding processes and documentation to enhance the candidate and hiring manager experience
- Perform administrative functions to support the Talent Acquisitions Team as needed.
Qualifications and Competencies:
Required:
- Bachelor's degree in Business, Human Resources, Communications, or related field
- 1-3 years of relevant experience in HR, talent acquisition, or a related operational support role
- Strong organizational skills with a keen attention to detail
- Excellent written and verbal communication skills
- Excellent interpersonal abilities and a customer-focused approach
- Proficiency in using and navigating multiple computer systems/software (e.g., ATS, HRIS, onboarding platforms)
- Ability to work in a fast-paced, team-oriented environment while maintaining a high level of accuracy
- Self-motivated, adaptable, and comfortable managing multiple priorities
- Demonstrated ability to handle sensitive information with discretion and integrity
Preferred:
- Experience working with external background check, drug screening, or onboarding vendors
- Familiarity with onboarding best practices and compliance requirements
