About the Job

Department program administrator responsibilities are a critical to the success and vitality of the Fisheries, Wildlife and Conservation Biology (FWCB) Department at the University of Minnesota. This position reports to the Administrative Director, with some work directed by our department head, providing administrative program support to a diverse group of faculty, staff and students. In partnership with the director of undergraduate studies, the primary role of this position will be to support the needs of the growing Fisheries, Wildlife and Conservation Biology undergraduate major. In addition, the department program administrator will support the front office and contribute to other departmental services, and occasionally support the Conservation Sciences graduate program.

The work of this position requires a high level of organization, flexibility, and collaboration. The needs of our students and faculty are unique and equally important. The FWCB Department has 20 faculty, 50 staff, 230+ undergraduate students, and 35+ graduate students.

60% Academic Program Management

* Oversee and manage the following programs in CourseDog: Fisheries, Wildlife and Conservation Biology undergraduate major; Conservation Sciences MS and Ph.D. programs.
* Develop and implement workflows and processes for scheduling courses, proposing new courses, and general teaching cadence
* Coordinate annual classroom and teaching schedules in consultation with the department head, and the directors of the undergraduate and graduate programs
* Monitor and facilitate course fee budgets and allocations
* Monitor and facilitate course enrollment
* Monitor and update program information and facilitate the curriculum approval process
* Compile and analyze student data to make recommendations for curriculum and course decisions

15% Undergraduate Recruitment and Recognition

* Work with CFANS communication staff to develop and execute strategies to increase student engagement, and promote program courses
* Develop, coordinate, and plan events for undergraduate students in FWCB
* Develop, coordinate, and plan FWCB recruitment events
* Facilitate the scholarship and fellowship process in partnership with the FWCB scholarship committee and Conservation Sciences graduate program
* Monitor and forecast balances for FWCB scholarship and fellowship accounts
* Support scholarship committee, finance staff, and department head in the selection and awards process

25% Administrative Support

General Departmental Administrative Support
* Oversee administrative office ordering and supply inventory and needs
* Responsible for mailing
* Assist members of the department with room scheduling, as needed
* Responsible for the parking validation for visitors
* Department contact for all facilities-related requests, issues, and needs
* Manage biannual space use audits and related reporting requirements
* Manage key database, requests, and issuance
* Other managerial tasks as needed

Qualifications

Required Qualifications:
* BA/BS or a combination of related education and work experience equal to 4 years.
* Excellent interpersonal and communication skills with an ability to work collaboratively with diverse audiences
* Proficient with Microsoft and Google suites, with the drive to learn new systems as needed
* Demonstrated experience effectively working independently and as part of a team

Preferred Qualifications:
* Experience working at the University of Minnesota, to include knowledge of University systems such as, CourseDog, class scheduling, and website platforms (e.g., Drupal)
* Demonstrated experience using PeopleSoft applications

Pay and Benefits

Pay Range: $25.50 - $28.00; depending on education/qualifications/experience
