ASSISTANT SECRETARY TO THE MAYOR
MAYOR'S OFFICE
CITY OF WORCESTER

The City of Worcester is seeking qualified applicants for the position of Assistant Secretary to the Mayor for the Mayor's Office. Under the direction of the Secretary to the Mayor, the position is responsible for assisting with the planning, directing, organizing and oversight of all functions and activities of the Mayor's Office. This position provides high-level administrative, communications, and constituent service support within the Mayor's Office. The Assistant Secretary will play a key role in the day-to-day operations of the office, assist in organizing the Mayor's schedule, and engage with the public, staff, and City departments with professionalism and discretion. The work schedule encompasses a diverse range of after-hours responsibilities.

ESSENTIAL TASKS:



  • Assist in managing the Mayor's daily schedule, calendar, and meeting logistics.
  • Provide professional and courteous customer service to constituents via phone, email, and in-person.
  • Support and assist the Chief of Staff to the Mayor and liaise with City Administration, City Council, Boards & Commissions, Library, School Committee, and other Committees and Groups on behalf of the Mayor.
  • Provide customer service to diverse constituents.
  • Greet constituents or other office visitors.
  • Support the coordination of events, meetings, public appearances, and community outreach on behalf of the Mayor.
  • Help prepare materials including talking points, correspondence, and remarks for public events.
  • Maintain accurate records and assist in compiling reports and other documents.
  • Respond to inquiries and route calls or emails appropriately while maintaining confidentiality and professionalism.
  • Track constituent issues and ensure timely follow-up in collaboration with relevant departments.
  • Assist with public communications and social media postings as directed.
  • Attend community meetings and events as a representative of the Mayor's Office when assigned.
  • Provide logistical support for press conferences, official events, and media appearances.
  • Perform other related duties as assigned by the Secretary or the Mayor.


REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:



  • Strong oral and written communication skills.
  • Excellent interpersonal skills and a commitment to public service.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with social media platforms.
  • Ability to work collaboratively as part of a small team while taking initiative when needed.
  • Discretion and professionalism in handling sensitive information and high-profile individuals.
  • Attention to detail and strong organizational skills.
  • Ability to adapt to changing priorities and remain calm under pressure.
  • Knowledge of Worcester's neighborhoods and civic landscape is strongly preferred.


MINIMUM REQUIREMENTS:



  • Associate's degree in Public Administration/Policy, Management or other related field
  • Two (2) years of office experience working with customers/constituents and in a fast-paced office setting
  • Two (2) years of office experience providing administrative support in a fast-paced office setting; OR,


    • An equivalent combination of education, training and three (3) years of experience which provides the required knowledge, skills and abilities to perform the essential functions of the job will be considered in lieu of the above requirements.


  • Valid Driver's License with reliable transportation


PREFERRED QUALIFICATIONS:



  • Bachelor's degree in Business Administration, Public Administration/Policy, Management or other related field
  • Three (3) years of experience working in a municipal, government, or nonprofit setting
  • Three (3) years of office experience working with customers/constituents and in a fast-paced office setting
  • Three (3) years of office experience providing administrative support in a fast-paced office setting
  • Worcester resident
  • Bilingual or multilingual


SALARY RANGE: $34.20 - $41.75 hourly, full-time, with an excellent benefits package.
