What You'll Do
We are seeking a motivated and detail-oriented Corporate Business Assistant to support the Corporate Executive Vice President (EVP) of our $500 million/year AEC firm. This role offers a unique opportunity to gain hands-on experience in both executive-level support and corporate operations. The ideal candidate will bring strong organizational and communication skills, the ability to manage multiple priorities, and a proactive approach to problem-solving. This is a highly visible role that requires professionalism, discretion, and a desire to grow within a fast-paced business environment. Key Responsibilities
- Provide day-to-day administrative support to the Corporate EVP, including managing calendars, coordinating meetings, booking travel, and preparing expense reports.
- Help coordinate internal and cross-functional projects, ensuring smooth communication and documentation.
- Maintain organized files and records related to business operations and ongoing initiatives.
- Serve as a point of contact for scheduling and logistics between the EVP's office and other departments or external partners.
- Provide hands-on support in advancing key corporate projects by coordinating activities, tracking progress, surfacing obstacles, and ensuring timely follow-through. Help maintain momentum and visibility across a range of high-impact initiatives.
- Support alignment between departments by facilitating communication, consolidating updates, and connecting key stakeholders to ensure effective collaboration on strategic and operational goals.
- Prepare supporting materials, track action items and decisions, and ensure appropriate follow-up on deliverables tie to corporate and executive-level meetings. Help maintain organizational clarity on priorities.
- Assist with the creation and refinement of presentations, reports, and internal communications. Tailor messaging for senior audiences and ensure a high standard of clarity and professionalism.
- Act as a strategic extension of the EVP by helping manage information flow, triage meeting and communication requests, and ensure time and attention are aligned with the most critical priorities. Exercise discretion in determining when and how issues require executive engagement.
- Maintain awareness of key initiatives, timelines, and interdependencies to anticipate needs, identify risks, and help prevent bottlenecks in execution.
- Maintain organized documentation and working files related to enterprise initiatives, executive-level correspondence, and strategic planning efforts.
- Support efforts to improve communication, structure, and efficiency within the Corporate Development and Operations function. Help implement and reinforce best practices that support execution at scale.
- Handle sensitive information and interactions with the highest level of confidentiality, professionalism, and sound judgment.
- Take on evolving responsibilities that contribute to the EVP's ability to lead effectively in a dynamic, fast-paced environment.
- Support additional administrative and operational tasks as assigned.
