About the Role:

We are seeking an organized and motivated individual to join our global team working on research journals in Mathematics.

The Publishing Assistant will provide administrative and operational support for the Mathematics Journals team, assisting with a portfolio of journals. Working under the guidance and supervision of an Executive Publisher, the role focuses on tasks that keep journal operations running smoothly, while providing opportunities to develop an understanding of academic publishing.

This is an excellent opportunity for someone looking to start a career in academic publishing. The ideal candidate will be detail-oriented, proactive, and eager to learn in a dynamic, collaborative environment.

This position is based in our Philadelphia or New York office and follows a hybrid working model.

Role Responsibilities:

  • Support the publishing team with day-to-day administrative tasks, including maintaining records, preparing documents, updating internal systems, and tracking deadlines.
  • Coordinate with internal departments such as production, marketing, and sales to support publishing processes.
  • Respond to routine queries from editors, authors, and reviewers, escalating issues as needed.
  • Retrieve and organize data for customized reports related to journal performance and development.
  • Prepare materials for internal and external use, including team reports, board meetings, and conference presentations.
  • Contribute to one-off projects as assigned.

Experience, Skills, & Qualifications:

  • Minimum of bachelor's degree.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook, Teams).
  • Ability to manage multiple tasks, follow instructions, and meet deadlines.
  • Professional communication skills for working with colleagues at all levels.
  • Interest in learning about academic publishing.

US Annualized Base Salary Range: $36,190. The salary offer may vary based on work experience, education, skill level and equity. The US salary range does not align with the salary ranges in other countries when converted to the currency of that country.
