The MGH Team-based Outpatient Psychiatry Clinic (TOP) is a general psychiatric outpatient clinic, serving the mental health needs of patients under the care of MGH primary care physicians. The clinic is made up of three teams, each consisting of a psychiatrist, psychologist, nurse practitioner, social worker, and a medical assistant.
General Responsibilities:
- Participates actively in patient care which includes obtaining chief complaint and vital signs, completing pertinent screening, and ensuring proper identification and handling of sensitive information and performing other tasks as determined relevant to the individual patient.
- Demonstrates critical thinking skills concerning appropriate documentation of allergies, medication updates, past medical history and any other information that is added to the medical record of an individual patient.
- Demonstrates an understanding of the current and future needs of the patient and can use decision-making skills to help patients meet those needs following appropriate protocols
- Manages the flow of the provider's patient care session, makes decisions to add a patient to the schedule as needed and keeps the provider informed about issues that affect the efficiency of care during the session
- Provides medication and overdose education to patients and families as needed at the direction of the prescriber and within the scope of the MA's practice.
- Supports patient care and health care team by anticipating administrative functions that require support including but not limited to preparing prior authorizations and participating in the approval process for medications as appropriate, monitoring clinical messaging, supporting providers with completion of patient follow up letters, updating the medical record with patient information under the guidance of the provider. Monitors and stocks supply for the clinical and administrative needs of the practice
- Transports/escorts patients in the hospital as needed
- Provides cross coverage for patient services coordinator role as needed, such as scheduling patient appointments, answering phones, managing messages, and other managed care related issues, (ONLY IF OUT OF OFFICE)
- Demonstrates a strong sense of responsibility to maintain an orderly practice environment, including properly disinfecting exam room in between visits
- Demonstrates a commitment to excellence in safety, care, and service with a strong orientation toward outstanding customer service
- Participate in medical team meetings, rounds, case conferences, as appropriate, to provide education and consultation and to exchange information to improve patient care
- Assist with patient faxes, RX refills, and pharmacy requests
- Monitors and manages the Epic in basket/pools
Insurance Verification and Prior Authorizations:
- Completes insurance verification and benefit reviews prior to any rendered services
- Appropriately documents insurance information, including benefits and prior approvals, in the electronic medical record
Other Administrative Support:
- Attends daily TOP team clinical huddles and once weekly case conferences meeting; follows up on medical related requests and concerns identified during these meetings
- Available to TOP providers as needed on clinic days
General Responsibilities:
- Maintains confidentiality & privacy consistent with HIPAA guidelines
- Maintains an organized and neat work area
- Works collaboratively with patients, staff, clinicians, and managers to determine needs and solve problems
- Follows hospital and department standards with regards to telephone courtesy and etiquette
- Maintains accurate knowledge of hospital policies and ensures adherence to all recommended procedures
Education:
- High School Diploma or Equivalent required
- Can this role accept experience in lieu of a degree? No
- CCMA highly preferred
Experience:
- Direct MA experience or medical field work 2-3 year required
Knowledge, Skills and Abilities:
- Strong interpersonal and communication skills are essential for success in this position.

- Accuracy and attention to detail.
- Comply with all local, state, and federal privacy and confidentiality rules and regulations.
- Ability to take vital signs and manual blood pressure, as well as collect blood samples and other specimens.

- Proficiency in electronic health record (EHR) systems and medical office software.
- Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
