This is a part-time temporary position. Temporary positions offer some paid leave and may offer partially subsidized state health benefits. Temporary positions are not compensated at the time of a state/closing or holiday.

The State Highway Administration's (SHA) Office of Traffic and Safety (Anne Arundel County) is currently recruiting for an Administrative Assistant II position. This position is open to anyone who meets the minimum qualifications listed below. All eligible candidates must meet the minimum qualifications by the closing date. The resulting list of eligible candidates will be used to fill this vacancy or function only. You will need to reapply for any future recruitment conducted for this job classification.


Nature of Work:
The responsibilities of this position include, but are not limited to, This position functions as the Administrative Assistant II, providing support to the Sign Operations Section, the Inventory and Procurement Section, and the Statewide Sign Team of the Traffic Operations Division within the Office of Traffic and Safety. Primary administrative duties include reading and interpreting signing and signal plans to determine fabrication needs; receiving sign requests from customers, determining fabrication requirements, and creating work orders for Sign Technicians; contacting sign requestors for clarification and resolving issues related to requests; and maintaining the sign work order tracking database. Additional responsibilities include assisting the Statewide Sign Team with monitoring, tracking, and scheduling tasks such as the installation of overhead and large mounted signs, historical markers, and logo program signage; supporting the Inventory and Procurement Section by tracking job orders, maintaining files, and completing other administrative tasks as needed; and providing essential support to the Sign Shop Manager, Inventory and Procurement Section Chief, and Assistant Division Chief by preparing correspondence, typing memorandums, and receiving and distributing mail. The position is also responsible for answering telephone calls for the shop; compiling monthly production reports and metrics to support performance tracking and analysis; and serving as the lead for the Sign Operations Section in coordinating timely responses to public inquiries via the Customer Care Management System (CCMS).

Qualifications

Education: Graduated from a standard high school or possession of a high school equivalency certificate.

Experience: Three years of experience in secretarial or clerical work involving typing or stenographic duties.

Preferred Qualifications:

The ideal candidate should possess the following:

  • Ability to communicate effectively both orally and written
  • Proficient in Microsoft Word, Excel, Outlook and Power Point
  • Ability to prepare accurate reports from various statistical data or accounting information
  • Excellent internal/external customer service abilities and interpersonal skills
  • Knowledge of office practices, procedures, and equipment
  • Excellent organizational, filing, and record keeping skills
  • Ability to make decisions in accordance with laws, rules, and regulations
  • Candidate should be self-motivated with the ability to work independently and have a high regard for attention to details
  • Candidate should be able to work efficiently in a distracting and busy environment

Notes:

1. Applicants may substitute additional secretarial or clerical experience on a year-for-year basis for the required education.

2. Applicants may substitute an Associate of Arts degree with a major in Secretarial Science from an accredited college for up to two years of the required experience.

3. U.S. Armed Forces military service experience as defined under the Minimum Qualifications may be substituted for the required education and experience on a year-for-year basis.
