Location: Cherry Hill NJ

Employment Type: Full Time, In Person, Exempt

Salary Range: $60,000-$75,000

Position Summary:

Provides administrative support primarily to the Chief Financial Officer's teams at Bancroft's corporate office. Provides receptionist services to guests entering OneBancroft. Coordinates with other Executive Assistants and support staff as appropriate. Exercises independent judgment in the resolution of administrative issues.



Responsibilities

    Serves as primary administrative support for the Finance (including Accounting and Revenue Cycle), Information Technology and External Affairs teams at Bancroft. Manages calls, calendars, mail, email, and other communications for the Chief Financial Officer and her teams. Serves as the liaison between the CFO, her teams and internal/external partners. Coordinates with and supports other Executive Assistants at OneBancroft.
  1. Serves as the first point of contact for all incoming visits and employees to OneBancroft. Greets visitors, receives packages, routes phone calls to the main building number and takes messages as needed. Communicates the needs of walk-in guests to the appropriate Bancroft administrative support. Ensures that visitors and guests to OneBancroft sign in to log book, obtain a visit badge, and are escorted through the building by a Bancroft employee. Ensures materials, furniture, etc., in the front lobby are neat and organized.
  2. Manages conference room calendars at OneBancroft, and ensures that daily calendars are posted at each room at the end of each day.
  3. Responsible for ordering and disbursement of office supplies at OneBancroft. Partners with Office Manager in developing and maintaining a more efficient office supply distribution system at OneBancroft.
  4. Maintains and updates the Corporate Departments/OneBancroft Team list at least monthly, if not more frequently. Also maintains and updates, at least monthly, the "Who Does What" document.
  5. Maintains and updates email distribution lists for the Finance team. Manages, organizes and monitors Finance electronic records and shared drive.
  6. Performs other duties as assigned.
  7. Abides by the Bancroft's Mission Statement, Vision Statement, Core Values, Philosophy of Care and Code of Ethics in promoting behavioral norms, establishing relationships and providing guidance in decision-making situations.
  8. Remains current with required training certifications, meets state-regulated licensing and regulatory accreditations, and adheres to mandatory requirements.
  9. Maintains effective verbal and written communications with colleagues, individuals served, and their family members and/or guardians when applicable.
  10. Willingly and effectively cooperates with Bancroft, The Department of Human Services, The Division of Developmental Disabilities (DDD), and other licensing or state agency or local municipalities in any inspections and investigations, upon request.
  11. Maintains a safe and respectful environment, free of abuse, neglect, or exploitation; does not allow weapons, threats, bullying or intimidation.
  12. Reports any violations to the appropriate team member as soon as the incident occurs.


Qualifications

Education:

Bachelor's degree required.

Experience:

Prior administrative assistant experience required. Preference will be given to candidates with experience in supporting executives and related teams.

Special Skills:

Effective verbal and written communication and interpersonal skills required. Effective organization, prioritization, and time management skills required, as well as the ability to influence and negotiate with both internal and external contacts. Familiarity with computer operations and associated software preferred. Operative knowledge of a human resources management system for data maintenance, report generation, etc., also preferred. Minimum 18 years of age required.
