Facility Manager - JLL

What this job involves:

The Facility Manager role is ultimately responsible for all facility operations at our client's global headquarters in Reston, Virginia.

What your day-to-day will look like:

  • Collaborate effectively across multiple service lines within a matrix organizational structure to ensure successful facility operations while achieving target key performance indicators and maintaining client satisfaction through seamless integration with client facility operations.
  • Maintain professional relationships with diverse stakeholders who may have competing interests by establishing clear communication channels, setting appropriate expectations, and executing responsibilities in a timely and effective manner that demonstrates leadership and responsiveness.
  • Develop and execute comprehensive annual budgets while tracking expenditures and reviewing performance monthly with accounting and operations stakeholders to ensure strict budgetary compliance and financial accountability throughout all facility operations.
  • Manage work order systems including Corrigo by reviewing all orders for accurate GL coding, completing verifications, following up with vendors for timely invoice delivery with proper documentation, and creating recurring work orders and preventive maintenance schedules.
  • Process purchase orders effectively by submitting POs, managing goods receipt and open purchase orders, reviewing service lists for accruals, and maintaining vendor relationships to ensure timely delivery of invoices with complete backup documentation and service tickets.
  • Support facilities and project development teams in implementing both short-term and long-term client projects while creating detailed weekly, monthly, quarterly, and annual reporting appropriate for client needs and ensuring compliance with JLL minimum audit standards.
  • Source local services and goods through third-party suppliers by working closely with sourcing managers, reviewing contract scope, obtaining vendor setup forms, verifying insurance compliance, coordinating performance discussions with suppliers, leading junior team members, and responding to urgent facility matters and customer requests while continuously improving programs and processes to reduce costs and increase productivity.

Required Qualifications:

  • A bachelor's degree in real estate, finance, or management is preferred, alternatively candidates with three to five years of industry experience in Facilities Management, Project Management, Hospitality, or Program Management within corporate office environments will be considered for this position.
  • Essential technical proficiency is required in multiple software platforms including Corrigo and other Computerized Maintenance Management Systems, JD Edwards E1, FM Systems Space, Microsoft OneDrive, SharePoint, and the complete Microsoft Office Suite for daily operations management.
  • Strong organizational and management capabilities are essential along with exceptional attention to detail and excellent customer service delivery skills to ensure client satisfaction and operational excellence across all facility management functions.
  • Excellent interpersonal abilities encompass superior verbal and written communication skills, strong analytical thinking, effective organization methods, and professional presentation skills necessary for stakeholder engagement and reporting requirements.
  • Knowledge of real estate principles, accounting practices, and building systems operations is helpful for understanding the comprehensive scope of facility management responsibilities and technical requirements.
  • Business acumen requirements include financial planning and analysis capabilities with demonstrated ability to manage operations within strict budgetary constraints and established timelines while maintaining quality standards and client expectations.
  • Computer proficiency is mandatory with previous experience in CMMS work order systems being particularly helpful for managing maintenance operations, vendor coordination, and facility management documentation requirements.
