THE OPPORTUNITY

Silvus is seeking an Office Assistant to support a well-organized and efficient workplace by maintaining and ordering food, beverages, and supplies across all company break rooms, along with general administrative support. This position reports to the Office Manager on the Human Resources team.

This position is fully onsite, Monday through Friday at Silvus Technologies' HQ in the heart of vibrant West Los Angeles.

The following is a list of at least some of the current essential job functions of the position. Management may assign or reassign duties and responsibilities at any time at its discretion.

ROLE AND RESPONSIBILITIES

  • Support the overall office environment by ensuring shared spaces remain organized, stocked, and operate smoothly.

  • Monitor and maintain supplies for the office as well as daily stocking and routine ordering of snacks, beverages, and supplies for multiple break rooms across the company.

  • Responsible for weekly set up of office lunches and monthly birthday celebrations; assist with other event planning as requested.

  • Provide support for facilities projects (e.g., escorting vendors, assisting with moves, reporting maintenance issues).

  • Receive, sort, and distribute incoming mail and packages; prepare outgoing mail for distribution.

  • Keep the office area clean and tidy.

  • Maintain office filing and storage systems, fax, scan, and copy documents.

  • Provide visitor assistance when required, ensuring proper security protocol and directing guests to the appropriate staff member.

  • Support phone coverage as needed, including transferring calls and relaying accurate messages.

  • Process visitor request forms and assist with related documentation when applicable.

  • Assist with documentation and logging (data entry) activities.

  • Support teams with various administrative tasks.

  • Be supportive of the Office Manager with the following tasks as needed or when out of the office:

    • Manage office tasks and communications.

    • Assist with the coordination of any facilities-related tasks.

    • Coordinate and organize appointments, meetings, and travel arrangements for staff.

    • Coordinate and maintain staff administrative records such as internal employee badges and keycards, parking, as well as all directories and seating charts.

    • Type documents, reports, and correspondence.

REQUIRED QUALIFICATIONS

  • High School Diploma or GED.

  • Excellent organizational skills and ability to prioritize and take initiative.

  • Demonstrated commitment to customer service with a high emphasis on a professional and friendly attitude, attire, and demeanor.

  • Internet skills including use of email, group messaging, and digital data collection.

  • Effective oral and written communication skills.

  • Attention to detail, accuracy, flexibility, reliability, and teamwork.

  • Ability to handle sensitive and confidential information with discretion.

  • Prior experience in a fast-paced office environment, meeting multiple deadlines.

  • NOTE - Must be a U.S. Person (U.S. Citizen, or U.S. Permanent Resident) due to clients under U.S. federal contracts.

  • All employment is contingent upon the successful clearance of a background check.

PREFERRED KNOWLEDGE, SKILLS AND ABILITIES

  • Highly proficient in Google Suite and MS Office (Excel, Word, PowerPoint).

  • Capability for critical thinking and problem-solving.

  • Reliable attendance and punctuality.

WORKING CONDITIONS & PHYSICAL REQUIREMENTS

  • Office environment.

  • While performing the duties of this job, the employee is required to do the following:

    • Ability to regularly lift and carry up to 25 lbs.

    • Walking/Moving around multiple floors and offices.

    • Extended periods sitting at the front desk.

CA Pay Range: $24/ hour USD

The pay range is NOT a guarantee. It is based on market research and peer data and will vary depending on the candidate's experience and qualifications.
