With over seventeen clinical services staffed by board certified specialists, many of whom are not only nationally but also internationally renowned, the Veterinary Health Complex (VH) is on the cutting edge of veterinary medicine. Patients benefit from the combined expertise of multiple specialists utilizing a team approach to patient health care. Each year, over 30,000 patients are treated in the VH. Essential Job Duties
The Client Service Representative is the heart of our hospital's experience and the crucial first point of contact for all clients, referring veterinarians, and visitors. This role is essential for ensuring a professional, compassionate, and seamless experience while upholding the hospital's operational and financial standards. You play a vital role in client retention and overall satisfaction by delivering exceptional communication and service in every interaction.

Key Responsibilities:


  • Client Interaction: Greet and check in clients upon arrival, ensuring a welcoming and efficient intake process.

  • Communication: Answer incoming calls, respond to inquiries, and provide accurate information regarding hospital services and appointments.

  • Scheduling & Coordination: Schedule appointments and manage calendars to optimize client flow and hospital operations.

  • Financial Transactions: Process deposits, handle billing, and ensure accurate financial documentation.

  • Client Support: Collaborate with internal departments and external clients to address questions, concerns, and service needs.

  • Team Coverage: Provide coverage and support for other client service team members and receptionists as needed, based on scheduling and operational requirements.
  • Ability to lift up to 30 pounds, with or without reasonable accommodations.

Qualifications




Minimum Experience/Education
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Preferred Qualifications

  • Previous client service experience in a veterinary or medical setting. Knowledge of medical records software, MS Office products and/or Google Apps (or similar software), email, fax and copy machines.
  • Excellent verbal and written communication skills, and strong organizational and multitasking skills.
  • Exceptional customer service skills and the ability to interact professionally with clients, faculty, and staff in demanding situations.
  • Ability to interpret VHC guidelines and client needs to determine emergency situations.
  • Emotional intelligence, ability to empathize, and the ability to mentally process difficult cases.
