Key Duties
- Professionally greets all visitors, directing them to the appropriate party, service, or location.
- Organizes and implements office functions including procurement of supplies, maintaining office records, and supporting relationships with client's office vendors.
- Follows established security procedures by monitoring guests and issuing visitor badges.
- Receives and analyzes SCM department Help Intake requests and internal and external SCM mailboxes checking that all data is accurate to route to the appropriate team member.
- Maintains the SCM Desk Reference Training Manual and documents and communicates actions, irregularities, and continuing needs.
- Assists with contract processes, forms, reporting, and compliance, providing training when necessary.
- Assists with developing templates and guidance documents for the department ensuring that the documents are suitably maintained and relevant.
- Prepares mailings and general correspondence to employees and visitors
- Requests necessary service/maintenance for the client's General Office Front Desk office equipment to ensure optimum efficiency.
- Executes all responsibilities with a focus on achieving clients goals and objectives, and conforming to all policies, procedures and legal requirements.
Required Job-Specific Experience, Education & Skills
- 1 year of experience in a fast-paced office environment, or related area.
- Excellent interpersonal and communication skills (written and verbal communication and listening skills).
- Demonstrates careful attention to detail or essential elements and accuracy of information delivering information.
- Knowledge of general administrative and clerical procedures and the ability to operate basic office machines (telephone, copier, fax, printer, etc.).
- Knowledge of customer service principles and practices, and the ability to handle multiple assignments simultaneously with accuracy, some of which may be confidential in nature.
- Ability to establish and maintain harmonious relations with client's employees, vendors and the public.
- Demonstrates verbal, visual, and auditory ability to act swiftly in an emergency.
- Proficiency with Microsoft Office applications (e.g., Word, Excel, PowerPoint, and Outlook).
- High school diploma or equivalent is required.
- Must be authorized to work in the U.S.
