Position Summary:

The Coordinator, Global Creative & Production is a member of the Global Creative & Production Team and reports to the Director, Administrative Operations & Project Management, Global Creative & Production.

Purpose

The purpose of the Coordinator is to provide essential project tracking and operational support to the Global Creative & Production division, including Live Action and Animation Production, Production Management, and Creative Development, helping to ensure the smooth functioning of the department. This role is dedicated to managing documentation, facilitating communication, and coordinating production schedules, enabling the team to deliver impactful creative projects efficiently. By supporting cross-divisional priorities and maintaining organized processes, the Coordinator helps advance Sesame Workshop's mission to empower and educate children around the world.

The role will report to the Director, Administrative Operations & Project Management, who will supervise and help weigh priority tasks from cross-divisional requests.

Delivery

* Efficiently manage documentation and records for the department, including

o Input and manage Coupa contract requests and contracts, invoices, expense reports, cost reports, vendor information, and all related duties; track contracts, countersignatures, and payments

o Complete Performer Request Forms (PRFs) for new productions

o Keep AirTable information up to date and maintain digital documents (e.g. dubbing assets, delivery assets, etc.)

o Complete and maintain production-related documentation for distributor delivery and archival purposes

o Create and execute paperwork for division freelance hires

o Coordinate with various international production teams to support and facilitate the above work-flow

o Research third-party costs and other third-party offerings to help manage internal decision making when budgeting and/or assessing the scope of various projects (e.g studio rental, storage space, shipping costs, etc.)

* Ensure timely and accurate communication within the team, including key meeting support, as needed

* Coordinate production schedules, including identifying conflicts and managing solutions

* Streamline workflows and handle cross-divisional priorities, including

o Book Staff, Director, and Talent travel

o Support celebrity vetting process

o Maintain membership and subscription renewals

* Forecast ordering and monitor swag (branded plush and product) distribution

* Help prepare documents, reports, one sheets, PowerPoint decks, and all forms of presentations

* Research industry trends and other related information

* Provide support for divisional events and large-scale commitments, as needed

Engagement

* Support Sesame Workshop productions and internal projects, schedule production meetings, and ensure agendas are set and distributed to attendees

* Support project leads in organizing meetings and creative notes from internal and external stakeholders

* Serve as point of contact for the team for auxiliary and overflow projects

* Update shared calendars to reflect master Sesame Shooting and Delivery calendars for all projects in Production and Miscellaneous Events

* Maintenance and upkeep of all Organization Charts for Live Action/Special Project Production and job descriptions

* Ingesting content and entering assets into IPV and related systems

* Assist with special projects as directed including Control Room/Script PA for shoots, Gala support, and other projects

* Demonstrate a willingness to learn new skills associated with the work of the department such as fundamental budgeting, etc.

Minimum Qualifications Required:

* 1 - 2 years of experience in television, film, digital media, or entertainment production in a coordination, production assistant, or administrative support role

* Demonstrated experience supporting creative and production teams, including writers, producers, and/or executives in a fast-paced production environment

* Ability to manage complex scheduling for meetings, talent, production timelines, and multi-team workflows

* Working knowledge of production workflows, including development, pre-production, and live-action shoots

* Strong organizational and follow-up skills, with the ability to track multiple projects, deadlines, and deliverables simultaneously

* Proficiency with standard office and production tools, including Microsoft Office, Zoom/Teams, Frame.io and shared drives or asset-management systems

* Excellent written and verbal communication abilities

* Ability to maintain confidentiality

* Demonstrated adaptability to changing priorities

Sesame Workshop's Hybrid Schedule Policy:

This position is based at our headquarters office in New York (Manhattan) at 1900 Broadway, New York, NY, and follows a hybrid work model. In-office requirements vary by role and employee group, and currently range from two to five designated in-office days per week.
