Trust Vault Specialist

Hours: Monday- Friday from 7:30am-4:00pm

Job Summary

The Vault & Document Retention department has two main functions consisting of maintaining the Key Private Bank (KPB) Trust Vault and servicing document needs for various lines of business. The Trust Vault holds marketable and unique assets owned by KPB clients as well as original documents related to client accounts. The Vault team maintains dual control over the vault and its assets and processes deposits, withdrawals and inquiries based on internal client requests. The department completes requests for transactional or statement research using various media forms such as online document repositories and microfiche.

Essential Functions:

  • Process physical deposits and withdrawals of assets and documents to and from the vault while maintaining dual control over assets.
  • Record vault activity on the vault inventory system.
  • Support vault audits.
  • Provide documents requested in various media forms for multiple lines of business and external clients. Understand the historical systems and account structures where client accounts resided and be able to research and provide records upon request spanning multiple years and legacy systems.
  • Generate and distribute statements for Safekeeping clients.
  • Sign off on vault balancing reports.
  • Support Corporate Actions & Income related functions such as class action research and ADR dividend payment processing.
  • Meet performance objectives for accuracy and timeliness in completing actions.
  • Successfully prioritize workload of various types of activities with varying service level agreements.
  • Perform access control reviews of systems and applications used within department.
  • Actively participate in department projects and efforts to increase efficiency and improve service.
  • Train others in the department on functions and processes.
  • Actively participate in weekly, monthly and quarterly meetings
  • Maintain and update department procedures.

  • Participate in Business Reviews and Continuous Improvement initiatives
  • Provide problem solving ability as well as support to others with problem solving
  • Provide proactive client service
  • Work in a team environment and implement continuous improvement initiatives to increase quality, speed and productivity within the department

Education

  • Bachelor's degree in Accounting, Finance or business-related area or equivalent work experience

Work Experience

  • Minimum 1 year of work experience in the financial services industry preferred
  • Experience working with Microsoft Office Products (Excel, Word) required.

Physical Demands

  • General Office - Prolonged sitting, ability to communicate face to face in person or on the phone with teammates and clients, frequent use of PC/laptop, occasional lifting/pushing/pulling of boxes weighing up to 30 lbs.

COMPENSATION AND BENEFITS

This position is eligible to earn a base hourly rate in the range of $18.75 - $25.00 per hour. Placement within the pay range may differ based upon various factors, including but not limited to skills, experience and geographic location. Compensation for this role also includes incentive compensation which may include production, commission, and/or discretionary incentives.
