Description
The Department of Psychiatry is seeking to hire a full-time Administrative Supervisor to support our Outpatient Compassionate Response (CORE) Services Team. CORE is a team of licensed mental health specialists who provide compassionate interventions, support, and resources to UCLA students experiencing a behavioral health crisis.
In this role, you will oversee daily administrative operations, ensure compliance with federal, state, and local regulation, and directly supervise the CORE scheduling team and clinic coordinators. Primary duties include:
  • Hiring, training, scheduling and performance tracking of administrative and financial counseling staff
  • Review and analyze monthly clinic utilization data
  • Assist with budget development and ongoing monitoring
  • Oversee timesheet approval and staff coverage
  • Monitor productivity through DAR review
  • Manage account resolution processes to optimize reimbursement
  • Serve as a liaison between patients, billing, physicians, and other departments
  • Perform other supervisory duties as assigned


Salary range: $31.51/hr - $62.64/hr

Qualifications
  • Bachelors degree in business, finance, or related field (preferred)
  • Prior experience in a healthcare supervisory or managerial role
  • Minimum 2 years experience in a financial counselor type of role
  • Strong financial management skills with working knowledge of medical insurance plans and coverage types
  • Ability to lead, supervise, and mentor a mid-sized administrative team
  • Proficiency in patient registration, appointment scheduling, and handling patient inquiries
  • Excellent communication skills, including the ability to interact diplomatically and professionally with patients, clinicians, and staff
  • Ability to triage and resolve patient issues effectively
  • Strong organizational and workflow management skills, including the ability to set priorities, meet deadlines, and work independently with minimal direction
  • Ability to maintain composure and professionalism in high-pressure or sensitive situations
  • Typing and computer proficiency, including experience with electronic scheduling systems
  • Working knowledge of EPIC CareConnect for scheduling, registration, and accessing clinical results (preferred)
  • Knowledge of medical terminology
