The Opportunity

We are seeking a Client Accounting Special Projects Coordinator to join our Firm. This position will be based in our New York office (hybrid). The person will be responsible for leading projects related to the client/matter lifecycle, including new business intake, engagement letters, and other administrative aspects of the Client Accounting department.

  • Works directly with the Director of Client Administration to ensure client/matter intake designations accurately reflect the origination of a client/matter.
  • Leads weekly Partner follow up related to the origination history and designation assignments of new clients/matters and escalates responses to the Director of Client Administration as needed.
  • Responds to inquiries of Partners and support staff related to client/matter origination and related designations.
  • Collaborates closely with the Director of Client Administration to identify inactive/low activity clients.
  • Leads Partner follow up on inactive/low activity clients for the purpose of securing an engagement letter, updating the existing engagement letter or closing the client. Escalates responses to the Director of Client Administration as needed.
  • Works directly with the new business intake team to correct/modify origination history descriptions, update client/matter designations and adjust the status of a client/matter.
  • Reviews engagement letters received and enters associated meta data into the engagement letter imaging database for reporting and retrieval purposes.
  • Works closely with the Director of Client Administration and Attorney Development team to manage the secondment process, including drafting secondment letters as needed.
  • Develops and streamlines follow up procedures related to client/matter intake, engagement letters, secondments, and other administrative procedures.
  • Assists in training and mentoring teammates.
  • Actively seeks to enhance knowledge of all Client Accounting procedures and processes.
  • Demonstrates effective interpersonal, written, and verbal communication skills to facilitate effective working relationships with others.
  • Manages Firm resources responsibly.
  • Complies with and understands Firm operation, policies and procedures.
  • Leads other administrative projects and performs other related duties as assigned.

Qualifications

  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint, Word), with the ability to learn new software and operating systems.
  • Familiarity with ADERANT Expert or similar legal-industry time and billing suites.
  • Technical knowledge or desire and ability to learn new technical skills.
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing.
  • Demonstrates close attention to detail.
  • Excellent analytical, troubleshooting, organizational, and planning skills.
  • Ability to meet deadlines.
  • Ability to handle multiple projects and shifting priorities.
  • Ability to handle sensitive matters and maintain confidentiality.
  • Ability to organize and prioritize work.
  • Ability to work well in a demanding and fast-paced environment.
  • Ability to work well independently as well as effectively within a team.
  • Ability to use discretion and exercise independent and sound judgment.
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs.

Education and Experience

  • Bachelor's Degree
  • Minimum of two years of administrative work experience in a professional services environment (law firm preferable).

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

$75,000 - $85,000
