Job Summary:

The Program Coordinator provides administrative and operational support for Northwestern University's undergraduate chemistry program. This role manages course administration for undergraduate chemistry sequences, supports teaching-line faculty, and serves as a primary point of contact for undergraduate students. It oversees day-to-day program operations, supports course scheduling and enrollment processes, coordinates faculty and student programming, and maintains program data and communications. This position works closely with the Director of Undergraduate Studies (DUS), faculty instructors, departmental staff, and central administrative offices to ensure effective program delivery and an excellent student experience.

This is a full-time position at 37.5 hours per week. This position works a hybrid schedule, with some onsite work and some remote work. More information will be discussed during the interview. The target hiring range for this position will be between $53,000 - $65,000 per year. The salary offered will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

Specific Responsibilities:

Program Administration:

  • Manages the day-to-day administrative operations of the undergraduate chemistry program. Supports course scheduling, classroom assignments, and enrollment management through university systems such as CLSS, CAESAR, and Canvas. Maintains major and minor records, manages program databases, compiles program data, and prepares reports. Supports student organization programming and activities.

Course Administration & Faculty Support:

  • Provides administrative support for teaching faculty, particularly for introductory and intermediate undergraduate chemistry courses. Coordinates course administration including Canvas course sites, grading support, exam logistics, and classroom coordination. Assists faculty with course materials, evaluations, and student communications. Coordinates placement and assessment activities for incoming students and manages administration of the department's Initial Assessment and Placement Exam.

Student Support:

  • Serves as a primary contact for undergraduate students enrolled in chemistry courses. Troubleshoots student issues with instructional platforms including Canvas, CAESAR, Crowdmark, and iClicker. Communicates program information and supports student access to course materials and resources.

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's degree or higher; OR appropriate combination of education and experience.
  • 1 year program/project administration or other relevant experience.

Minimum Competencies:

  • Working knowledge of Caesar, CLSS, Canvas or equivalent systems
  • Working knowledge of Microsoft Excel, Word, & Outlook
  • Strong communication skills and a commitment to customer service
  • Ability to work, support and maintain a productive, collaborative, and continuous relationship with colleagues across the Department of Chemistry and Weinberg College of Arts and Sciences

Preferred Qualifications:

  • At least 2 years of program administration or similar experience.
  • Experience providing administrative support to faculty or academic programs.
  • Experience working with academic or student information systems.
