Essential Job Duties
The Division of Academic & Student Affairs (DASA) is where students discover connections and community. The Office of Undergraduate Courses and Curricula and University Academic Standards ( OUCCAS) manages the approval process for all undergraduate course and curricular offerings at NC State, is responsible for facilitating the University Courses and Curricula Committee ( UCCC), the Council on Undergraduate Education ( CUE), and serves as a point of contact for on-campus as well as off-campus entities and works directly with the Office of Assessment and Accreditation, the Graduate School, Office of Instructional Programs, Registration and Records, and the Colleges and Academies regarding undergraduate course and curricula related matters.
Primary Purpose of Position:


  • Agendas: Review actions and send initial pre-UCCC (University Courses and Curricula Committee) and pre-CUE (the Council on Undergraduate Education) agendas to committee leadership groups after review by the Curriculum and Training Specialist


  • Committee Minutes: Take minutes during University Courses and Curricula and Council on Undergraduate Education meetings (with sufficient detail to allow for post-meeting follow-up), as well as any subcommittee meetings


  • Committee Feedback: Support the Curriculum and Training Specialist as they send feedback after meetings to initiators and members as appropriate to notify faculty of next steps and relevant resources in a timely manner.

    • Pre-Meeting Feedback: Send initial feedback from or before pre-meetings to ensure action completion and clarity before meetings.





  • Scheduling: Schedule GEP Special Topics Courses as approved by CUE or those who have completed the Repeat process.

    • Monitor the repeated offerings of these courses and alert departments before actions to create a permanent course must be initiated
    • Work with the UC scheduling officer to follow best practices in scheduling these courses.




  • Website Maintenance: In close collaboration with the Director, maintain information on the OUCCAS website (https://oucc.dasa.ncsu.edu/) based on changes to requirements and processes at all levels as well as the internal site with resources and SOPs.
    • Regularly audit both internal and external websites for process/language updates, accessibility, and broken links, and to ensure accessibility.



  • Training: Regularly audit training resources and pinpoint gaps or needed updates


  • Engage in research and benchmarking based on committee and office needs.


  • Assist the Director in other research and implementation of projects and initiatives
    • This generally includes benchmarking research, searching committee/policy history and precedence, as well as other projects as needed.



In collaboration with the rest of the team:


  • Act as an administrator for the Course Inventory Management (CIM) system, including updating workflows and role users as needed, and basic troubleshooting of issues.


  • Serve as a point of contact for the campus, including committee members, faculty creating courses and curricula, and administration offices seeking information and support regarding undergraduate curricular matters. Involves answering emails in shared inbox, phone line, and possible in-person activities.


  • Respond to requests for documents and questions involving past and current committee processes and actions. This includes doing research in a shared drive, Google Drive, and some paper, analyzing information, and synthesizing reports appropriate for diverse demographics and/or specialized to individual client needs.


  • Review courses and curricula for compliance with University, System, accreditor, and federal policies


  • Process changes, updates, and/or maintenance of actions and/or workflows in CIM as appropriate


  • Update committee records and sites such as posting agendas and approved minutes or updating Google group rosters, etc.


  • Communicate and follow-up with departments and colleges for course approval results from committees

Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

  • Strong organizational and communication skills
  • Ability to manage multiple tasks and meet deadlines
  • Proficient in Google Suite (Docs, Sheets, Drive, Calendar, etc.)
