Under the supervision of the Department Supervisor, the Scheduling Coordinator supports daily patient services by managing a high volume of clinic calls and triaging them according to UC San Diego Health telephone and UCSD Experience standards. This role is responsible for accurate appointment scheduling and confirmation, determining authorization needs at the time of scheduling, and communicating changes promptly to clinical teams. The coordinator also prepares and distributes clinic schedules, monitors schedule order work queues, and ensures timely transcription of follow-up orders across Epic, PCIS/Varian, and Aria. The Scheduling Coordinator provides exceptional customer service by greeting and directing patients, completing registration both in person and by phone, and gathering demographic and insurance information. They verify eligibility through automated systems, collect co-payments and pre-payments, process daily deposits, and assist with routine billing inquiries. Additional responsibilities include checking patients in and out, coordinating transportation when needed, maintaining accurate financial documentation, and keeping patients informed of delays in care. This position serves as a key liaison among physicians, nurses, and Radiation Oncology staff and requires proficiency in navigating multiple systems simultaneously. The coordinator maintains a clean and professional front desk environment, manages incoming and outgoing records for outside referring providers, and supports monthly billing accuracy by reviewing appointment reports and eligibility for patients undergoing treatment. Additional duties may be assigned to ensure smooth and efficient clinic operations. MINIMUM QUALIFICATIONS
Pay Transparency Act Annual Full Pay Range: $57,399 - $71,347 (will be prorated if the appointment percentage is less than 100%) Hourly Equivalent: $27.49 - $34.17 Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable). | |
