Hourly Pay Range:

$22.14 - $33.21 - The hourly pay rate offered is determined by a candidate's expertise and years of experience, among other factors.

HR Services Rep, Preboarding

The HR Services Rep, Preboarding supports the onboarding process for new hires within a healthcare organization by ensuring all required documentation and pre-employment requirements are completed accurately and timely. This role serves as a primary point of contact for new employees during the pre-hire phase and helps ensure compliance with regulatory and organizational standards.

Position Highlights:

  • Position: HR Services Rep, Preboarding

  • Location: Skokie, IL

  • Full Time/Part Time: Full Time

  • Hours: Monday-Friday, during normal business hours

  • Required Travel: travel to other locations will be required (Arlington Heights and Elmhurst)

What you will do:

  • Initiate preboarding activities upon offer acceptance, including sending onboarding instructions and required documentation.

  • Assist with Form I-9 completion and ensure proper documentation is obtained in compliance with federal requirements.

  • Conduct onboarding and employee file audits to ensure compliance with internal policies, regulatory standards, and accreditation requirements.

  • Communicate with candidates to provide guidance on onboarding steps, deadlines, and required documentation.

  • Coordinate and track completion of pre-employment requirements such as background checks, drug screens, immunizations, and employment verification.

  • Partner with recruiters, HR, and hiring managers to ensure a smooth transition from offer to start date.

  • Escalate issues or delays to appropriate team members.

  • Ensure adherence to healthcare compliance standards (e.g., credentialing prerequisites, basic regulatory requirements).

What you will need:

  • Education: High School diploma or equivalent, required. Associate's degree, preferred

  • Certification: n/a

  • Experience:

    • 2 years of administrative, HR, or preboarding related experience, required

    • Experience in healthcare or regulated environments, preferred

    • Familiarity with I-9 documentation and pre-boarding screenings, preferred

  • Unique or Preferred Skills:

    • Strong organizational, communication, and customer service skills with the ability to manage high-volume onboarding activities in a fast-paced healthcare environment.

    • Basic knowledge of Microsoft Office, HRIS systems and pre-employment systems preferred (Workday and Cisive/PreCheck).

    • Working knowledge of Form I-9 compliance, reverification processes, E-Verify procedures, and employment authorization documentation.

    • Experience in communicating with candidates to resolve missing or incomplete onboarding documentation

    • Experience supporting compliance with Illinois-specific pre-employment and onboarding requirements, including the Healthcare Worker Background Check Act (HCWBCA), DCFS CANTS checks, and fingerprint-based background checks.

    • Strong knowledge of healthcare regulatory and accreditation requirements

    • Experience validating employee licensure, certifications, and required credentials through primary source verification processes and applicable credentialing platforms.
