Job Description

Join the Ellis Fischel Cancer Center and support a mission-driven environment advancing cancer research, care, and education.
The Executive Assistant reports to Research Administration and works closely with the Center Director and Associate Directors. This role operates independently while supporting daily operations, strategic initiatives, and leadership priorities. This position is on-site.

Key Responsibilities
* Provide high-level administrative support to Cancer Center leadership, including calendar management, meeting coordination, and daily operational execution
* Prepare executive-level correspondence, reports, presentations, and meeting materials
* Coordinate and attend leadership meetings; take detailed minutes and track progress on strategic initiatives
* Manage communication (calls, emails, visitors) with professionalism and discretion; triage and respond appropriately
* Anticipate leadership needs by preparing agendas, briefing materials, and supporting documentation
* Coordinate travel arrangements, itineraries, and logistics for leadership and guests
* Support virtual and in-person meetings, including room setup, technology coordination, and speaker readiness
* Maintain organized filing systems and ensure proper handling of confidential and sensitive information
* Assist with HR-related processes such as reviewing applications, tracking time records, onboarding administrative staff, and supervising interns
* Manage supplies, purchasing, expense reports, reimbursements, and financial documentation (including journal entries as needed)
* Support Cancer Center events, including planning, communication, setup, and day-of coordination
* Create and distribute communications such as flyers, announcements, and emails

Shift

Monday - Friday
8:00 a.m. - 5:00 p.m.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

* Experience supporting senior leadership or working in a fast-paced administrative environment preferred

Anticipated Hiring Range

Salary Range: $19.25 - $26.87 hourly
Grade: GGS - 008
