I. JOB OVERVIEW






Job Description Summary:
The Department of Romance, German and Slavic Studies ( RGSS) in the Columbian College of Arts and Sciences at The George Washington University offers courses in French, German, Italian, Portuguese, Russian, and Spanish to hundreds of students every semester. The dozens of faculty in our department foster a lively multilingual and multicultural atmosphere that centers on innovative teaching and research.

RGSS is seeking an Academic Department Administrator to work with the Lead Academic Department Administrator to support the office.

Duties and Responsibilities:

  • Acts as the primary contact for the main office suite with regard to daily office functions to ensure that the office runs smoothly. Duties to include, but not limited to, serves as receptionist, greets and refers calls, responds to inquiries from students, University staff, sponsors and/or the public with extensive knowledge of departmental programs and courses, monitors the department's general email and voicemail accounts and forwards messages to the appropriate party for reply in a timely manner, receives and distribute incoming mail and packages; aids faculty in sending mail and shipments, maintains the department's key database and inventory, and orders and maintains supply inventory.
  • Provides general support in execution of office operations which involves, but is not limited to, filing, scheduling meeting space/logistics, preparation of meeting materials, assisting with departmental events (graduation reception, search receptions, etc.).
  • Provides support for various administrative tasks, which includes, but is not limited to, assisting faculty and staff with special projects, liaison in solving routine administrative or procedural problems with other departments, monitoring and handling maintenance related issues for the department and preparing Fixit requests.
  • Plans work distribution for peak periods and trains student workers to provide quality customer service to office visitors, assists students with general questions about registration, office hours, credit transfers, major declaration, course prerequisites and other inquiries as they arise.
  • Maintains policy and decision files, regulations, historical files and similar documentation applicable to the programs administered.
  • Maintains RGSS website to include, but not limited to, making changes and updates as requested by the Chair, faculty and staff, monitoring and initiating necessary changes based on faculty changes, promoting the department activities via CCAS news agencies and/or other social media sites.
  • Acts as the department's primary liaison for course scheduling requests, semester changes/additions, prepares forms/reports at the request of faculty and staff, and monitors the changes.
  • Researches and provides data reports from Power BI, Insight, and Banner applications as necessary and at the request of faculty and staff.
  • Collects and maintains faculty office hours each semester in a timely manner to create an accurate faculty list.
  • Produces the department's bi-weekly newsletter by collecting information from faculty and staff and compiling the information provided to create the newsletter.
  • Acts as the faculty delegate to produce expense reimbursements via Concur, under supervision.
  • Assists faculty and staff with including room reservation, creation of flyers, publicity, organizes receptions, and other tasks as needed.
  • Liaises in solving routine administrative or procedural tasks with other departments, for example shared copier maintenance or conflicting room reservations.
  • Responds to facilities/classroom emergencies (last-minute room changes, technology problems).
  • Trains student workers in projects (scanning, copying, flyer creation, social media promotion, etc.), delegates projects to them, and oversees the quality of their work and interactions.
  • Maintains syllabi and other documentation applicable to the programs administered.


Perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Proficiency in utilizing Microsoft Office, Adobe Acrobat, Google Workspace, MailChimp, and similar operating systems.
  • Ability to interact with faculty, students, and staff in a team environment.
  • Familiarity with Concur is preferred.
  • Previous experience in office management and administrative support.
  • Strong organizational and time management skills.
  • High attention to detail and accuracy.
  • Ability to work independently and manage multiple priorities.
  • Strong verbal/written communications skills.

Hiring Range $21.80 - $28.32
