Job Summary

The Business Systems Analyst for Admissions and Records supports the optimization of student information systems and operational processes by analyzing business needs, resolving system issues, and implementing technology-driven solutions. This role develops reports, ensures data integrity, manages system access, and collaborates with stakeholders to improve efficiency, compliance, and service delivery. Additionally, the analyst provides training, supports system implementations, and contributes to strategic initiatives within Enrollment Services.

Essential Functions

25% Project Strategy, Systems Implementation & Reporting:
Leads development of project documentation, defining strategy, scope, resources, and timelines for Admissions & Records initiatives, identifies operational and system gaps; designs and implement technology, process, and staffing solutions; facilitates system implementations, including user acceptance testing (UAT) for the local college; develops, creates and maintains Admissions and Records' SQL Server Reporting Services (SSRS) to support data-driven decision-making; administers and supports systems including Dynamic Forms, Laserfiche, SIS, and SLMS as it relates to the Admissions and Records area; delivers staff training and onboarding for the Admissions and Records area/department. Provide departmental supervision and leadership support, as needed

25% Business Analysis & Process Improvement:
Analyzes and documents business processes, workflows, and system impacts to identify inefficiencies and risks within Admissions and Records. Interprets regulatory requirements and provide guidance on policies, compliance, and best practices; troubleshoots SIS issues, resolve escalated cases, and address data anomalies (e.g., duplicate records, login issues, exception reporting). Researches emerging technologies and industry trends; recommends and implement improvements

20% Systems Administration & Security:
Manages SIS and SSRS security administration, including user access provisioning, role alignment, and account lifecycle management; ensures appropriate access controls based on job functions and institutional policies; supports operational planning, budgeting, and technical problem resolution

15% Data Analysis & Integrity:
Analyzes SIS data to support reporting, compliance, and strategic decision-making within the Admissions and Records department; monitors and maintains data integrity within SIS; identifies and resolves discrepancies within SIS

15% Leadership, Training & Stakeholder Support:
Provides professional support to committees and cross-functional teams through research, reporting, and presentations; facilitates meetings and delivers training on SSRS and system usage; contributes to organizational initiatives and performs additional duties as assigned

Minimum Qualifications

Bachelor's Degree from a regionally accredited institution in information technology or related field and two (2) years of business systems analysis experience including business process design and/or business requirements definition or workflow documentation and/or acceptance testing within Admissions and Records and/or any other students services department.

OR

An equivalent combination of the conferred degree, education, certification and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Three (3) years of experience working in Admissions, Records, Enrollment Services, or a Registrar's Office within higher education, including at least two (2) years in a community college setting.

B. Three (3) years of hands-on experience with a Student Information System (SIS), such as PeopleSoft, along with experience using reporting tools (e.g. Tableau, SSRS, SQL, dashboards).

C. Three (3) years of experience with student records processes, including registration, residency determination, transcripts, FERPA regulations, and related policies and procedures.

D. Three (3) years of experience documenting business processes, training end users, and providing functional or technical support, including troubleshooting system issues.

E. Experience managing system access, security roles, and user provisioning, as well as supporting document management or workflow platforms (e.g., Laserfiche, Dynamic Forms).

F. At least one (1) year of programming or query experience using languages such as SQL, Microsoft SQL, or Oracle, along with experience working with applicable local, state, and federal regulations (e.g., residency requirements, immigration laws).

H. One (1) year full-time relevant MCCCD experience during the previous two years (internal candidates ONLY)

Special Working Conditions
  • May be required to travel or be assigned to all MCCCD locations
  • May be required to work evenings and weekends
  • May be required to work at multiple sites days, some evenings or weekends
  • May require prolonged periods of viewing a computer screen
  • May require lifting objects weighing up to 25-50 lbs
